Well established NGO based in Durban are looking for a project administrator to join their team.
Duties will include :
•Schedules meetings
•Plans for implementation of stated activities based on (SOPs) in terms of training requirements;
•Liaison with Communications and Administrative Departments to inform of requirements for each activity (i.e stationary lists, certificates, name tags, place names; travel arrangements)
•Follow-up with Unit personnel to ensure that training related activities/information is updated on website;
•Assists with preparation of Training Materials, and other materials; and attendance at Department planning meetings.
•Assists the Manager to maintain the administrative requirements/institutional memory on a day-to-day basis;
• Prepares drafts of written submissions in terms of external requirements (web page, media releases, briefs for publications/brochures) and internal requirements (memos, capturing on the electronic information systems (server)
• Assists with written reports on each activity involved in, and prepares written submissions for internal (monthly, quarterly, annual) reports.
• Assist with necessary logistical arrangements for meetings, take notes and produce minutes for circulation and follow-up of agreed actions with Manager;
•Prepares advance clearances;
•Assistance in preparing for induction of new staff in the Department and working on recruitment processes with the HR Administrator
•General Filing: receiving timesheets, tracking these on Excel, leave forms and submissions to HR
•Proofing of final drafts according to various publication templates and Style Guide
•Preparation of final proof for sign off by either the Manager: Knowledge Production or the Manager of Interventions for handbooks and reports;
•Assistance with translation of training information and documentation.
•Undertake a bi-annual performance evaluation with Manager: Programmes Department;
•Identify activities and discuss attendance with Manager: Programmes Department as part of staff development and capacity-building.

Must have over 3 years solid admin, secretarial / project administration work ,a tertiary qualification would be an added advantage.
Must be strong on excel
Excellent communication skills
