Project Administrator

Job Purpose

Day-to-day liaison with stakeholders and the SSIP team. Minute taking. Assists with data gathering and regular update the database.

Key Responsibilities:

1. Administrative support to the project.
2. Receive statistics and updating spreadsheets timeously.
3. Print necessary documents for meetings and workshops a day before such events are held.
4. Minute taking during meetings and ensure distribution to all relevant parties.
5. Gathering of data on programmes, e.g. attendance register, agenda, tracking grid.
6. Process correspondence between the Project Manager and internal and external stakeholders timeously.
7. Respond to Project Manager, Project Officer and stakeholders’ requests and queries at all time, i.e. respond to queries within stipulated time.
8. Create cheque requisitions and spreadsheets for payment with minimal errors.
9. Scan project related documents.
10. Create and update electronic and manual filling system for the database.
11. Regularly update database and related activities (site managers and district officials).
12. Receive and accurately capture documents from districts and liaise with districts on all related project documents.
13. Arrangement of cluster site managers training logistics and attendance.
14. Analyses of termly cluster learner feedback forms.
15. Analysis and Comparison of termly cluster result.
16. Ensure accurate provincial submission scheduling and monthly report.

Key Requirements:

• A post secondary school qualification preferably in office administration.
• One year secretarial experience/administrative experience preferably in a Project Management and/or Office environment(s)
• Office management systems
• High computer proficiency on the Microsoft office package (outlook, word, access, excel) including typing skills.
• Strong Communication skills(at least written and verbal)
• Interpersonal skills, honesty, trustworthiness, high level of respect , ability to demonstrate sound/strong work ethics, and some sense of flexibility are crucial for this position
• Must have undying willingness to go an extra mile and learn new things
• Ability to priorities work, set targets and control schedules
• Extreme attention to detail and high problem solving abilities
