Project Coordinator - Pretoria - Medical Scheme - 6 Months Contract

JOB SUMMARY
Project Coordinator will support Senior Manager: Project Management with performing non – routine research and project governance tasks related to the coordination and oversight of projects to ensure timely and effective management of all projects.

ADMINISTRATION AND SUPPORT

Project Management Office (PMO) Support
? Assist the SM: Project Management with the implementation of the PMO Methodology and monitor performance against set targets;
? Quality monitoring and enforcement of PM standards;
? Assist in PMO educational campaigns to elevate the project maturity level of GEMS;
? Assist the SM: Project Management to develop, implement and monitor PMO divisional plan;
? Acts as a resource person by performing research, analyzing information, providing documentation for the PMO as requested;
? Assist in streamlining processes and project/ programme reporting whilst working closely with cross-functional supporting teams (contract management, product development, analytics ,technology, legal compliance and marketing);
? Assist in the development and tracking of a take-on project plan for combining all SPN members;
? Work closely with the Scheme’s operational staff to ensure compliance to GEMS standards and requirements.

Planning and Organizing
? Coordinates PMO planning sessions, including project management forum, project steering committee, divisional PMO meetings, budget planning and development;
? Have over-sight over schedules of the PMO resources and ensure alignment to key PMO standing meetings and overall divisional meetings;
? Keep a record and communicate all standing PMO meetings to all key stakeholders (Executive: PA’s, Senior Management);
? Provide secretariat and logistical support in all key PMO meetings;
? Serves as liaison for department; coordinates activities and exchanges information.

Reporting and Record Keeping
? Act as the central administrative and coordination contact for GEMS PMO;
? Compile PMO reports (project update reports, divisional reports);
? Verify and analyze the accuracy of all data and information used or generated by a project and documented in all projects reports;
? Provide input to presentations for the Executives and Senior Manager;
? Highlight any discrepancies/inconsistencies on reports they are accountable for;
? Assist the SM : Project Management with the coordination of project health check reports and SLA compliance reports for various Scheme projects;
? Assist in the development of business process improvement, operational and risk management reports on trends, high impact issues;
? Monitor record keeping and file maintenance for all projects;
? Custodian of the electronic project management site;
? Ensure the alignment of all work to the scheme’s mission, vision and values;
? Assist in performing regular site visits to build and maintain healthy and sound relationships and assist by coordinating visit schedules to Service Provider Networks’ and provide regular feedback;
? Establishes and maintains internal and external contacts as necessary.

Correspondence and Documentation Processes
? Assisting with any other Divisional activities where necessary including printing and binding of documents, courier of documents etc.

Risk Management
? Manage project coordination risks
REQUIREMENTS
? Minimum 3 year National Diploma/ Degree or NQF equivalent;
? Minimum 2 years relevant work experience;
? Be computer literate;
? Hands-on experience in project studies and implementation will be added as advantage;
? Possession of a valid driver’s license (advantageous);
? Must be willing to travel at short notice;
? Knowledge of the South African medical scheme industry (advantageous);
? Have an excellent written and verbal communication and interpersonal skills;
? Have resilient pressure management abilities;
? Have the ability to work well as part of a team;
? Be responsible and reliable;
? Have a diligent work ethics with attention to detail;
? Self-motivated and pro-active (self-starter);
