Project Coordinator (1 year fixed-term contract)

Main purpose of the job
To provide high level project administrative support to donor-funded programs such as IDSI and to lead a portfolio of projects with the support of senior staff.

Key performance areas
Assist with general office administration
Assist with the development and implementation of new policies within the team
Arrange and organise meetings, teleconferences, events, facilities and minute taking as and when required
Book, coordinate and confirm national and international travel arrangements (flights, accommodation, perdiem, itinerary, etc) for IDSI Lead, team members and other external partners.
Develop standard operating procedures for managing projects, recording activities and tracking progress.
Liaise with team members and external stakeholders to ensure that deadlines are met.
Work with the team to identify and manage risk.
Organising international workshops and conducting follow up surveys
Act as a contact person for external consultants undertaking IDSI contract work within PRICELESS.
Maintain an up-to-date database of current and future consultants.
Maintain good working relationships with external stakeholders and staff members with PRICELESS.
Handling of written and verbal enquiries from external stakeholders and redirect to appropriate person.
Assist in ensuring that website and other communication materials for PRICELESS and IDSI are kept up-to-date.
Record management by developing and maintaining a systematic database and electronic filing system
Assist in preparing reports and presentations
Manage the payment of invoices and expense claims and maintain an accurate record of financial expenditure for IDSI
Represent the team at operational meeting within PRICELESS and the Wits School of Public Health.
Assist in the induction and training of new and temporary employees
Participate in appropriate training and development activities
Perform ad-hoc duties as and when required

Required minimum education and training
A relevant undergraduate degree preferably in Office Administration. Experience in use of MS Office, particularly Word, Excel and PowerPoint.

Required minimum work experience
Minimum of 2 years’ experience in office or project administration.

Additional education, work experience and personal abilities
Experience working in a public health environment, donor funded organisation or NGO.
Exceptional organisational and administrative skills. Able to maintain confidentiality, tact and professionalism at all times. Ability to travel and work overtime. Able to exercise discretion.
Display a high level of initiative and independent decision-making.
Ability to manage and maintain good relationships.
Assertive, emotionally mature, confident and adaptable.
Self-motivated with a high regard for work ethic, value and integrity, highly organized, able to work independently and work as part of a multidisciplinary team.
