Our client is seeking a Project Coordinator.

Role Summary:

Responsible for facilitating and coordinating a range of projects in support of a team or organisational unit. May manage a small Tier III project of phase(s) of a larger project. Exercises sound judgment in ambigious situations and is able to adapt quickly and learn from experience. Works collaboratively with both internal and external stakeholders to facilitate successful rollout of projects and execution of related events. Builds, defines and maintains information, systems and processes to support the work of the assigned team and team members. 

Key Duties and Responsibilities:

Project Coordination

  • Responsible for overall coordination of project activity, ensuring clear roles and responsibilities - ensures tasks and deliverables are being met and follows up on action items.
  • Assists in developing project deliverables and monitoring status (document creation, presentation preparation, logistical support, SharePoint management)
  • Download information on grants from UNISON system as requested by Country Representative. Maintain a database of investments in South Africa and ensure it is updated as per information on UNISON.
  • Provides seamless coordination, planning and preparation for multiple work streams and deliverables.
  • Initiate internal Concept Briefs (ICBs) for grants/investments on behalf of the Country Representative. Assist with preparing project proposals, timeframes, schedule and budgets. Monitor and track project's progress and handle any issues that arise.
  • Coordinate events, from concept development to implementation. This includes, coordinating with the events team/events coordinator booking meeting rooms, ensure required resources and equipment is provided. Manage the process of sending out invitations and follow up on RSVPs. Manage travel arrangements and logistics for external participants working closely with travel desk. Reconcile and process reimbursements after event/trip.

Communication/Collaboration

  • Actively supports and manages information exchange and communication efforts (within/beyond immediate team).
  • Communicates effectively with project team and stakeholders, gaining trust. 
  • In coordination with South Africa team, manage and proactively expand the range of contacts, create and maintain contact databases for South Africa office. Develop close relations with relevant contact people on database, update it on a regular basis.
  • Act as the point of contact and communicate project/grant status adequately. Create and maintain updated grant/project documentation, plans and reports. 
  • Obtains timely input before making decisions.
  • Monitor the media to track changes in government postings, and among Corporate executives and NGO leadership. Bring to the attention of the Country Representatives news, including notices on promotions, transfers, appointments, deaths, etc. Independently drafts appropriate letters of congratulations or condolence for the Country Representative's signature. 
  • Provide communicattions support & assistance to ensure timely responses to inquiries including acting as a liaison for team with partners, answering questions, routing requests appropriately, and prioritizing calls, email and mail communications. 

Administrative Support

  • Prepares reports and presentations for a variety of purposes and audiences, summarizing key findings and recommendations with appropriate detail. 
  • Coordinate travel arrangements and logistics for Country Representatives. Compile and process expense reports on Concur on behalf of Country Representative. 
  • Tracking, research and administrative support; document management of materials and information.

  • Must be familiar with project scope and objectives, as well as the role and function of each team member to effectively coordinate the activities of the team.

Typical Education, Certification and Experience:

Bachelors degree plus 2-4 years of relevant experience. May be working towards PM certification.
