MINIMUM REQUIREMENTS

The candidate must have the following:
A valid drivers licence
Fully competent computer skills in MS Office and Outlook with a working knowledge of MS Project
3-5 years experience in a similar industry would be an advantage
Relevant Diploma in Project Management or Office Administration
BTech Degree in Project Management will be an added advantage
Knowledge of SAP will be an advantage

RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO: COMMUNICATION

Proficiency and fluency in written and verbal Business English
Ensure continuous professionalism through liaison with internal and external stakeholders Acquire knowledge of work style preferences

PROJECT MANAGEMENT ASSISTANCE

The role incumbent will be required to:
Attend and participate in project meetings
Record and produce accurate and concise minutes of the above meetings timeously
Assist Project Managers / Engineers with editing and compiling of engineering services
tender documents using relevant pro forma
Co-ordinate placing of tender advertisement
Compile electronic submission of worksheets using relevant pro forma
Cut CD’s, prepare CD labels, envelopes and booklets
Coordinate tender clarification meetings
Ensure timeous compilation of draft presentations for tender clarification meetings when
required
Manage completion of the attendance register during tender clarification meetings when
required
Take minutes, type and distribute.
Co-ordinate the Acknowledgement of Addendum reply forms
Assist with tender evaluation process when required
Demonstrate proficiency and accuracy in typing of letters, agendas, memorandums, minutes
and other documents as required
Manage compilation of contract documentation for signatures
Ensure correct profiling of documents on electronic document management system
Assist Project Managers with contract administration and filing
Assist Project Managers with the company’s supply chain management requirements
Ensure project information is available for auditing
Coordinate travel requirements as required by the Project Manager / Engineer and ensure
that all arrangements are correct and distributed accordingly
Back up support for other Project Management Administrators, Project Managers and the
Regional Manager when required
Reception relief when required
Attend ad hoc meetings and take minutes
