Main Objectives:
1. Manage a portfolio of Gearhouse SA client accounts, towards improving client retention within the Group.
2. Identify and pursue future business opportunities within assigned client portfolio.
3. Understand your clients, their needs and their budgets.
4. Manage client expectations throughout the quotation (existing clients) planning and event delivery process. Understand your client’s budget.
5. Facilitate job production from confirmation to completion on behalf of the client ensuring that they receive service in accordance with the Group goal of service excellence to the client value chain. to ensure cohesion, efficiency and quality in the delivery of the product.
6. Provide clients with single contact access to a range of services.
7. Co-ordinate the successful planning and realisation of assigned live events from inception to completion
Responsibilities:
CLIENTS
• Establish relationships with new clients towards retaining the client’s long-term business and securing further business.
• Maintain and expand relationships with existing clients, identifying and pursuing sales opportunities through face to face calls and regular telephonic contact.
• Record of all client interactions, specific issues and preferences on the Daily Activity Report Spread sheet.
• Procure new business as per the Sales strategy when not assigned to a specific event.
• Relay potential sales leads to the JHB Sales Manager.
• Develop and maintain sound business relations with clients in conjunction with Sales.
• Effectively manage the client’s needs and wishes.

PRODUCTION EXISTING CLIENTS
• Take the quotation brief telephonically or via a meeting/site visit with the client ensuring that the client’s objectives are fully understood.
• Provide a comprehensive written brief from which to open a job as well as the expected quotation delivery time.
• Deliver or email the quotation to the client timeously and follow up to explain the quotation if necessary.
• Follow up on all declined quotes making every attempt to win the business back. Escalate to management in order to find a solution.
PRODUCTION NEW CLIENTS
• Work with Sales Executive on brief and quotation preparation prior to full handover from sales at confirmation stage.
PRODUCTION ALL CLIENTS
• Follow up with the client re any deposits/payments due, outstanding documentation required. Sales executive must ensure all paperwork is in order and signed off for new clients.
• Inform Operations AND Sales personnel when final confirmation is given.
• Facilitate all aspects of the job and conduct full briefing.
• Involve the relevant operations personnel in post confirmation site/technical meetings to clarify requirements/changes, and relay all changes back to Admin/sales.
• Liaise with the client throughout the job process, ensuring that their expectations are properly managed and the brief accurately realised.
• Provide a job report to Sales Team Leader/PM Team Leader and Job Report email list on completion of the event
• Monitor the progress and standard of client service throughout the event and conduct a follow-up with client on completion.
• Request written client feedback from existing clients.
• Provide client feedback to Sales and Operations for corrective action when necessary.
• Input all client interaction into Daily and Weekly Sales Activity spreadsheets and keep Sales Executive updated throughout the process.
PROJECT MANAGEMENT
• Take telephonic enquiries from clients when in the office.
• Establish the client’s requirements and work with the relevant Gearhouse managers/sales staff to provide solutions.
• Function as liaison between the client and Gearhouse SA throughout the process to ensure that the client’s requirements are met.
• Assist the Accounts division with the collection of payment for confirmed jobs.
• Plan and co-ordinate the event; generate technical production schedules and organise the requirement details (equipment, personnel, transport, travel, forklifts etc) with the relevant Operations Managers in weekly operations meetings.
• Monitor the progress and standard of job preparation by operations and administrative staff prior to load-in. Oversee the load-in and set up of equipment, ensuring that technical personnel are fully briefed and that the project tracks the planned schedule.
• Provide on-site management support for the client, serving as the primary contact between client and Gearhouse technical personnel.
• Co-ordinate and support personnel from all disciplines onsite, ensuring adherence to Gearhouse SA codes of conduct, dress codes, customer service levels and health and safety standards.
• Communicate regularly with technical staff and/or Management regarding progress and resolve changes, performance problems, conflicts or issues impeding progress.
• Perform a quality control function throughout the project.
• Organise all necessary site requirements such as crew passes, catering, electrician, storage facilities, etc.
• Organise and oversee the load-out ensuring that it takes place safely and efficiently as scheduled and that the venue is left in good condition.
• Conduct a follow-up with the client after the event.
• Communicate with your clients on a quarterly basis to ensure we get repeat business.
SALES
• Attend and contribute to sales meetings, reporting on weekly sales achievements and plan of action.
GENERAL
• Assist management with any other duties as may be required.
Requirements:
• Matric
• Relevant qualification in any technical field
• Extensive knowledge of industry and event technical supply
• 5 years project management experience
