ROLE SUMMARY
The Reception Supervisor has an overall responsibility to provide a professional service to all customers in line with the
Hospital Private strategic themes.
The incumbent also acts in a supervisory function to other reception employees.
The Incumbent is further responsible for answering phones, patient scheduling and registration, charge entries, work
queues, payment posting, batch balancing and cash reconciliation and balancing.

KEY WORK OUTPUT AND ACCOUNTABILITIES

Telephone Etiquette
? Make sure the Reception staff answers telephone calls professionally, timeously and diligently
Patient Scheduling
? Make sure all forms are filled in completely and correctly
? Ensure booking is made with patients’ preference of practitioner, date and time
? Ensure compliance to admission process as to Standard Operating Procedure.
? Audit the files for accuracy and completeness
? Ensure Admission processes are done timeously to avoid long waiting periods at Reception
? Monitor and control the Reception area

Financial administration
? Risk profiling clients for affordability in line with the National Credit Act and requirements
? Identify financial risks pro-actively and communicate these to the patient and internal risk chain as per protocol
? Collect payments according to protocols and prepare financial registers daily, accountable for receipting
functions as per policy

General Tasks
? Responsible for the preparation of the reception area for each working day, and have all front desk activities
fully operation at the start of business hours
? Maintain administrative records to the system and report statistics when required
? Schedule all Reception staff off duties accordingly
? Management of Reception staff leaves and absenteeism
? Perform general administration duties from time to time
? Participate in monthly meetings to discuss issues and give feedback
? Compliance to uniform policy

? Ensure communication to the line manager should the staff member be absent/late for work for whatever
reason.

Handling of emergencies
? Make sure patients are referred to nursing station immediately
? Ensure that the patient is handed over to a nurse or practitioner
? Follow up on patient details once patient has been stabilised as per the Standard Operating Procedures

SKILLS PROFILE
EDUCATION
? Grade 12 or equivalent NQF Level 4 Qualification

WORK EXPERIENCE
? Previous reception supervisory experience
? Knowledge of ICD,CCSA codes
? Sound business Acumen
? Strong leadership skills
? Trifour/Trimed experience

KNOWLEDGE
? Computer Literacy
? Knowledge of Billing and Debtors procedures
