RECEPTIONIST - CORPORATE & PROFESSIONAL COMPANY
CAPE TOWN CBD/RONDEBOSCH | R 6500 – R 8000 PER MONTH

This is an exciting position with a company that is based in Rondebosch , Cape Town. They rent out office space or relevant space for needs of specific clients. We need a young, well spoken, bubbly person with a confident and charming personality to join this dynamic team. We are looking for an Amazing candidate to place this position.

REQUIREMENTS:

Previous experience in a customer service focused environment
Previous experience working in a client-facing environment
Excellent telephone etiquette and experience answering a busy switch board
Knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook
Extremely important to have proven organisational skills and the ability to prioritise and multi-task
Previous experience leading and motivating a team
Experience in problem solving and time management
Customer focus with the ability to build long-term relationships
Take ownership of internal reports and systems
Experience within a serviced office or service related industry an advantage
Degree or diploma (not essential)
Seizes opportunities to achieve and exceed both business and personal objectives
Commitment to delivering results and success
Working effectively and cooperatively with others building good working relationships and actively participating as a team member

DUTIES AND RESPONSIBILITIES:

Managing the Front of house of the centre
Answer calls professionally
Create client satisfaction, express helpfulness and friendliness
Take accurate messages
Be the first point of contact for all clients and visitors on a daily basis, providing a friendly and welcoming front of house service – ensuring excellent first impression
Ensure calls are transferred correctly
Always ensure clients’ needs are met, promptly and professionally
Ensure visibility and readiness to assist clients as and when the need arises with flexibility and helpfulness
Go above and beyond the expectations of a client, must have an internal passion for customer service must be available for the preparation offices before new clients move in. Setting up IT (Basic), Telephones, furniture and ensuring welcome packs are ready for the arrival of new clients ensuring the boardrooms are ready for the client use, if there are special requirements
Provide admin support
Mail distribution into post boxes
Organising courier services
Ordering office supplies
Pre-paring and booking meeting rooms
Other administration/secretarial duties
Set an example for the team of high performance, professional appearance and proficient customer liaison
Check client birthdays and ensure they receive a birthday message
Ensure waste bins are taken out on time
Stationery control: compile order, get approval and place order for both the company and its clients
Maintenance of office equipment (printer, binder, copier)
Ensure filing is up to date
Promptly emailing clients phone messages with a clear message
Client liaison on all purchases, messages and other correspondence
Updating credit/debit card payments sheet on a daily basis
Balancing, printing and filing month end credit/debit card payments with slips
Ensuring staff sign the attendance register on arrival and departure
Compiling new tenant files
Ensure welcome packs are in order for new tenants
Ensure documentation/tour packs for tours are pre-packed
