Receptionist/PA

The successful candidate will be responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner.

1. Provide office support services in order to ensure efficiency and effectiveness within the Office:

• Receive, direct and relay telephone messages and fax messages
• Re-direct calls as appropriate and take adequate messages when required
• Direct visitors to the appropriate staff member
• Maintain the general filing system and file all correspondence
• Assist in the planning and preparation of meetings, conferences and conference telephone calls
• Make preparations for all internal meetings
• Maintain an adequate inventory of office supplies
• Respond to public inquiries
• Provide word-processing and secretarial support

2. Perform clerical duties in order to maintain administration:

• Develop and maintain a current and accurate filing system
• Monitor the use of supplies and equipment
• Coordinate the repair and maintenance of office equipment

3. PA responsibilities

• Work closely with senior managers to help them juggle their workload and free up their time
• Screening telephone calls and handling enquiries
• Organising your boss' diary and making appointments
• Preparing correspondence on the principal's behalf
• Liaising with staff, clients, etc.
• Organising travel and preparing complex travel itineraries
• Planning, organising and managing events
• Preparing papers for meetings
• Taking minutes of meetings

4. Skills and experience:

Must have a proven record of experience as a PA and in frontline reception.
Relevant qualification will be an advantage
Must be efficient in MS Office programs

• Good written and spoken communication skills
• Accuracy and attention to detail
• Be able to work to tight deadlines
• Be able to prioritise
• Cool under pressure
• Excellent administrative skills
• A flexible and adaptable approach to work
• The ability to work on your own initiative
• Tact and discretion, for dealing with confidential information.

Bookkeeping experience will be an advantage
