Provide an efficient and professional Front Office service to guests, adhering to the company’s policies and procedures at all times.:Ensure that the Reception areas are clean and neat at all times (including any flower arrangements).Ensure that brochures, rate sheets and maps are neatly on display.Promote the hotel and the group at all times, as well as special rates and conferencing packages.Ensure the Front Office Manager is made aware of all complaints by using the complaints register.Hand out guest questionnaires to all departing guests.Call the manager on duty to assist and deal with any complaints.Ensure that all incoming telephone calls are dealt with in an efficient and courteous manner.Ensure that the switchboard is manned adequately at all times.Ensure that the switchboard is answered according to company procedures.Ensure that the switchboard and all telephone lines are always in perfect working conditions.Ensure that all enquiries and requests for quotations are dealt with immediately according to company procedure.Ensure that you are at all times well acquainted with all of the hotel’s tariffs and special offers, as well as with all facilities available to the guests.Ensure that all guest profiles are entered correctly on the system and are routed to the correct company.Ensure that you are well acquainted with the company’s Front Office procedures and adhere to these procedures at all times.Do a detailed handover with the next shift.Ensure all Wake-up calls are done.Prepare your workstation as per procedure.Deal with all Arrivals as per procedure.Ensure that the company’s VIP procedures are adhered to at all times.Handle luggage and customer property as per procedure.Book services for customers as and when requested to do so.Deal with all departures as per procedure.Prepare customer accounts as per procedure.Ensure you have enough change available at all times.Carry out daily Key Checks as per procedure.Carry out daily Pit checks as per procedure, paying special attention to rates, credit limits, payment methods, confirmations and accuracy of guest’s details.Ensure that your cash-ups are being carried out according to the correct procedures.Run night audit as per procedureReport any faults immediately to your supervisor.Ensure that all calls are paid for.Ensure that all computers and printers are in working order.Ensure all faxes, photocopies, etc. are in working condition and report all faults immediately to your manager.Attend to meetings as and when required.Attend to training sessions as and when required.Adhere to the department’s duty roster, which is drawn up weekly in accordance with demand of business, taking the company’s shift-loan-system into account.Complete your time book on a daily basis.Ensure that the requirements of the Occupational Health and Safety Act are being adhere to.Ensure that you are familiar with the hotel’s evacuation procedures and participate in regular fire / evacuation drills.Deal with lost property as per procedure.Carry out any other duties as may be imposed by management.Please note: Should you not hear from us within 2 weeks, please consider your application unsuccessful
