JOB PURPOSE

The reception/admin assistant will be required to perform reception and administrative support services for ICTG and to act as the first point of contact for visitors and callers. This person will provide a full range of administrative and meeting support and will independently administer several assigned responsibilities, ensuring excellent customer service.

JOB DUTIES
• Reception Duties:
o acting as first point of contact for visitors
o inform employees of visitors waiting for them
o answering incoming calls & transferring to appropriate staff
o taking and distributing telephone messages via email
o Sorts and distributes incoming mail from the post box for staff
o Performing general clerical duties such as filing organizational documents
o Photocopies and scans documents for staff as required
o Monitor and ensure that the reception area is kept tidy and projects a businesslike image
o Provide logistical support to meetings held in the boardroom (order refreshments, update boardroom calendar)
o Receive parcels form courier and inform the relevant person about the delivery
o Provide back up support for colleagues during vacation/sick days with phone coverage and other office needs

Previous experience in a busy reception area will be a big advantage. Must have own transport as driving will be required from time to time (shopping for the office).
