We need a receptionist who will be the face of the company and do some general admin/filing/data capture.
English & Afrikaans a must plus an African language would be an advantage.
Preferably someone who has working experience in a similar role with a really bubbly easy going personality.
Company is a small company and call traffic is obviously in the mid to low volume range and there will be slow periods in any given day.
Based in Kyalami
Need to start ASAP.

Description

The incumbent is responsible for executing and supporting the operational, sales and administrative functions for the Gauteng Region. This includes, but is not limited to, effectively managing the stock process, general office administration and supporting the sales team where required.

Key Responsibility Areas

Core Functions:

• General Office Administration
o Prepare and Manage Correspondence, Reports and Documents
o Organize and Coordinate Meetings
o Handle web site queries and sales leads
o Communicate verbally and in writing to answer enquiries and provide information where necessary
o Liaison with internal and external contacts
o Manage Office Supplies where required
o Send and Receive Courier Parcels where required
o Controlling the switchboard – answering and screening all calls.
o Taking messages, sending them via e – mail to various departments
o Scheduling boardroom meetings and arranging refreshments when required
o Post sorting and distributing – weekly basis distributes to the various staff
o Order courier stationary - waybills packaging materials etc.
o Preparation of documents for meetings / training sessions
o Regional liaison
o Photocopying
o Deal with ad hoc personal duties
o Receive visitors and welcome them accordingly
o Ensure meals and refreshments are arranged for meetings where required
o General office errands
o General Admin and some data capture
o Internal communication
o Coordinate the flow of information both internally and externally
o Be an ambassador for the company at all times when dealing with customers both physically and telephonically.
