Leading online travel agency with branches in Tygervalley is currently looking for a Receptionist and Admin Assistant.

Area Tygervalley

The duties you have been employed to perform include but are not limited to the following:

Front office

? Represent Discover Africa Group to clients and prospective clients through the front office desk.
? Customers and suppliers must be greeted promptly in a professional and courteous manner.
? Answering of switchboard, routing of calls & taking messages in a professional manner
? Maintain phone system ie activating and deactivating divert to after hours emergency numbers, monitoring and actioning answering machine messages
? Contact 4DT to log a ticket if switchboard or telephone lines are faulty
? Ensure reception area is clean, tidy and welcoming
Maintain high level of Customer Service

Admin

? Capturing of daily sales report data (based on customer payments)
? Assist Admin and Accounts Department with capturing of supplier invoices and invoice queries
? Daily PPC Report
? Updating Supplier Stop Sales
? Daily Follow Up Report to Consultants
? Monitoring Info Folder for Write Inn E-mails - distribute to consultants for action
? Distributing Website Comments / Post Consultant Response on website
? Weekly After Hours Duty Booking Report
? Competitor Pricing Analysis
? Processing car rental reservations for/during peak periods
? Management of Customer Surveys
? Check accuracy of rates in Drivethru
? Load / Correct rates in Tourplan
? Update Supplier & Branch Info in CMS
? Update Vehicle info in CMS
? Update Supplier & Vehicle Info/Fact Sheets
? Updating Currency Rates in Tourplan on a Monthly Basis
? Compiling Agent / Affiliate monthly Commission Statements

General

? Run your desk as if it was your own business living our brand vision, mission and exhibiting the defined role behaviors / values consistently
? Adhere to all company policies, processes and procedures including administration guidelines.
? Help other areas of the team as and when required.
? Maintain a high-level user and knowledge on Tourplan.
? Where necessary, attend trade shows and exhibitions.
? Assist in monitoring office cleaner duties, admin and schedules
