Receptionist

JOB PURPOSE

The reception/admin assistant will be required to perform reception and administrative support services and to act as the first point of contact for visitors and callers. This person will provide a full range of administrative and meeting support and will independently administer several assigned responsibilities, ensuring excellent customer service.

JOB DUTIES INCLUDE BUT NOT LIMITED TO:
o acting as first point of contact for visitors
o inform employees of visitors waiting for them
o answering incoming calls & transferring to appropriate staff
o taking and distributing telephone messages via email
o Sorts and distributes incoming mail from the post box for staff
o Performing general clerical duties such as filing organizational documents
o Photocopies and scans documents for staff as required
o Monitor and ensure that the reception area is kept tidy and projects a businesslike image
o Receive parcels from courier and inform the relevant person about the delivery
o Update the company telephone list monthly


REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
• Knowledge of office administration practices
• Excellent communication skills
• Ability to operate a computer and a telephone as well as a photocopy machine
• Problem solving skills to use well-established procedures to provide reception and administrative support services
• Versatile skills required to adapt to a variety of tasks and situations in order to perform the duties of the job
• Be dependable
• Good organising skills
• Have good time management skills
• At least 2 years’ experience in switchboard and front desk duties
