Reservations Assistant
Established Hotel is seeking to employ a Reservations Assistant. You will be responsible for assisting the Reservations office with administrative support and guest bookings.
Requirements:
• Grade 12
• Minimum 2 years client liaison experience in high end properties
• Opera property management experience – advantageous
• Computer literate (MS Office)
• Excellent interpersonal skills and telephone manner as well as written and verbal skills
• Good organisational and admin skills
• Must be well spoken, professional and well presented
• Must be confident with guests, agents and operators
• Able to work well under pressure
• Able to work outside of normal working hours as per Company requirements
Duties will include, but aren’t limited to:
• Handle Hotel bookings and reservations
• Ensure pro-forma invoices are sent out in time to guests and agents
• Assist with the maintenance and control of payment procedures for reservations
• Ensure that payments are collected as per payment policies
• Follow up on provisional bookings
• Action daily reservations traces
• Preparing and reconfirmation of the next days (and longer if over weekends or public holidays) arrival packs
• Weekly exclusive functions communication to Agents, Operators and direct guests (Mondays)
• Ensure that profiles of arriving guests are updated on system
• Source and communicate profile of VIP Guests
• Daily filing of all written correspondence
• Capture payments from the bank statements to bookings
• Assist events coordinator with availability, quotes and client requirements when onsite
• Prepare collateral for exclusive or special events
• Assist with Agent, Operator and media requests
• Communicate to all departments on details of an upcoming site inspections
• Assist with site inspections
