Role Purpose:
Takes on a Sales Portfolio Support Function to Internall National, Coastal & Direct Sales Teams. Is directly responsible for coordinating and implementing all SALES processes between Brands & Internal Sales Teams with a strong focus on Implementation of NTR & Events across the Sales Portfolio.

Role Output:
i. IMPLEMENTATION
? To be the Sales Operations Executive to an assigned Portfolio around NTR/Event campaigns for Brand/s, requiring the project management of such campaigns across multiple platforms.
? Implementation includes knowledge of Radio, Eventing, Social media, mobile, video and digital platforms, reserving of inventory and following up on make goods.
? Active Client liaison around implementation on behalf of Account Managers within your Portfolio.
? Weekly Station Implementation meetings with a forward view to track progress and flag possible late implementation with Stations you implement across.
? Implementation of Station calendar management principles to avoid clashes ensuring that all portfolio campaigns are added to the calendar timeously and accurately.
? Tracking the invoicing and up-front payment of prizes and other fees.
? Effectively solving prize queries with the Stations and maintaining the fees tracking document with Finance.
? Driving and supervise a complete and accurate, high quality Post Campaign Analysis timeously, in order to meet client expectations around PCA presentation.
? H: drive maintenance – Collating PCA info and tracking implementation briefs / fees chase lists. Ensure that all Client / implementation documentation is saved in the relevant folders.
? Reactive costings and/or estimates for your portfolio across the brands represented both from an NTR and a generic/ Live read perspective.
? Schedule revisions on campaigns being implemented to ensure that what flights on air is accurately represented in the schedules and booked by Traffic.
? Adherence to all policies and procedures set out by the auditors in relation to schedule revisions.
? Adhere to all Internal costing principles and guidelines.
? Implement trade exchange contracts / Media Partnerships entered into by Brands across your portfolio.
? Liaison with MI /LAB/Trade around client briefs within your portfolio. Work closely with the AM’s to move the brief through the system to meet deadlines.
? Attend client meetings within your portfolio whenever necessary.
? Create and co-ordinate client presentations within your portfolio as necessary, including creative pitches; annual BVD negotiations and Quarterly Station updates.
? Build strong relationships and maintain regular contact with station(s) you implement across.
? Build strong relationships and maintain regular contact with Client(s) within your portfolio.
? Weekly/Monthly reporting and feedback on productivity (workflow).
? Additional Portfolio reporting as per the Portfolio managers / Sales management across both NTR and generic targets.

ii. SALES CO-ORDINATION:
Sales Co-Ordination
? Input, maintain and manage the CRM system from a feedback perspective across Sales Portfolio
? Assist with the monitoring of annual commitments and implement alert systems across Sales Portfolio
? Assist in compilation of sales proposals, presentations and schedules across Sales Portfolio
? Assist in supplying of avails across all Natures – from NTR to Features.
Sales Analysis and Administration
? Input, extraction, analysis, interpretation and reporting from management information data points e.g. CRM, TBS etc.
? Preparation and writing of reports, reviews and presentations
? Co-ordinate and distribute information in agreed formats, within specified timelines, in an effective manner
? Sales performance tracking by rep by channel by month across Sales Portfolio
? Pipeline management by rep / teams across Sales Portfolio
? Accurate reporting
Sales Team Support
? Development and maintain systems to optimise and ensure integrated departmental efficiencies
? Maintaining an overall knowledge of Sales Portfolios workloads and priorities
? Assisting with the communication of information to stakeholders using effective judgement
? Diary access in order to co-ordinate client / campaign meetings across Sales portfolio
Flexibility to take on new and different tasks as directed by Sales Operations Manager

Major challenges:
• Implementing multiple campaigns across portfolio simultaneously
• Constantly finding solutions and offering alternatives to maintain revenue
• Dealing with difficult personalities and/or irate clients
• Building and maintaining relationships both internally and externally
• Co-coordinating of Sales Portfolio

Qualifications:
Tertiary education in marketing. Brand /project management preferred
