School Support: Administrative Officer

Job Purpose
To provide administrative support to the School Support department

Key Responsibility

1. To provide general administrative support to the School Support Department through performing duties which include but not limited to:
a. Receiving, checking, collating and capturing invoices and contracts of service providers as well as following up on service provider payments for School Support programmes;
b. Submitting both independent contractors contract's and invoices to Human Resource, Finance or Corporate Services Department(s) for payment;
c. Maintain proper records of documents submitted as well as communication with projects beneficiaries and some stakeholders as per instruction from the line manager.
d. To assist departmental staff with logistical support for programmes, activities and events;
e. Collate intermediate expenditure report and make it available to the Schools Support Management;
f. Assist in collecting and managing projects beneficiary attendance
2. To collect and capture data; and ensure that all information and documentation is accurately recorded;
3. To work in conjunction with corporate services and other Sci-bono departments in assisting with arrangement\provision of support services such as departmental travel, catering, services, products procurement, etc.
4. Ensure the readiness of the training venues before the day of the training/lessons through liaising with the facilities office.
5. Assist the manager with the day to day running of School programmes and this includes working on Saturdays/ weekends.

Key Requirements:

• A post secondary school qualification preferably in office administration.
• One year secretarial experience/administrative experience preferably in a Project Management and/or Office environment(s)
• Office management systems
• High computer proficiency on the Microsoft office package (outlook, word, access, excel) including typing skills.
• Strong Communication skills(at least written and verbal)
• Interpersonal skills, honesty, trustworthiness, high level of respect , ability to demonstrate sound/strong work ethics, and some sense of flexibility are crucial for this position
• Must have undying willingness to go an extra mile and learn new things
• Ability to priorities work, set targets and control schedules
• Extreme attention to detail and high problem solving abilities
