Our financial services related Client in Pinelands is looking for a well experience Secretary / Personal assistant to work closely with Director and other office staff in Pinelands, Cape Town

Salary Negotiable (Depends on experience)

Minimum Requirements
• Matric
• Relevant Secretarial / Typing / Administration / Dictaphone Qualification an Advantage
• Microsoft Word, Microsoft Excel, Outlook Explorer
• Dictaphone transcription – speed vital
• Communication on all levels – Good Receptionist experience and abilities
• Confidentiality

Job Requirements
• Working on a variety of software packages from day to day, such as Microsoft Word, Outlook, Powerpoint, Excel, Outlook, Internet Explorer, etc.,
• Produce correspondence and documents and maintain presentations, records, spread sheets and databases;
• Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications
• Transcribe information / document in accordance with company procedures and maintaining office systems;
• Organising and storing paperwork, documents and computer-based information;
• Maintain and updating claims based websites
• Drawing up of invoicing on EXCEL
• Liaising with staff and external contacts
• Liaising with external contacts to book travel and accommodation;
• Photocopying and printing various documents, sometimes on behalf of other colleagues
• Operate electronic mail systems and coordinate the flow of information both internally and with other organizations
• Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals
• Locate and attach appropriate files to incoming correspondence requiring replies
• Learn to operate new office technologies as they are developed and implemented
