Our prestigious client in the Commercial Property industry is looking for a professional individual for the position of Sectional Title Property Administrator.

Duties & Responsibilities:

• Billing and collecting full levy income each month
• Maintaining the integrity of the MDA Building map
• Ensuring that all statutory and contractual expenses are paid in the correct format on the correct date
• Check and sign expense accruals, to ensure that; the amount is correct, the invoice number is correct, descriptions are correct, costs are allocated to correct buildings, correct suppliers and expense categories as per the budget
• Ensuring that cash flow is closely monitored and managed, and that the integrity of the individual accounts are maintained
• Ensuring that member/owner and trustee queries are timeously and courteously attended to
• Assist with convening regular Trustee/Directors meetings and keeping accurate minutes thereof
• Assist with convening the Annual General Meeting of the Body Corporate/POA and keeping accurate minutes thereof
• Ensuring that reports to Trustees/Directors are submitted in the agreed format, within the agreed time and that they are meaningful and error free
• Ensuring the notices for AGM’s are sent out in the correct format and at the correct time to ensure that they are duly and correctly convened
• Reports to include at least a Budget Variance Report, an Arrears report and a Facilities Report
• Assist with arranging for the preparation of the Annual Financial Statements of the Body Corporate/POA by the appointed auditor and ensuring that they are accurate and relevant
• Ensuring that all members/owners with outstanding levies are contacted to determine why the levy has not been paid
• Where it is established that a member/owner is experiencing financial difficulties, monitoring the situation closely and informing and involving the relevant parties
• After consultation with the relevant parties and ensuring that it agrees with the Trustees/directors; implementing legal action for the recovery of the outstanding levies
• Diligently following up on and driving the legal process once implemented
• Assist with preparation of best forecasts of income and expenditure per property per annum
• Assisting with calculating and recommending levies required to meet budgeted costs
• Ensuring that the budgets prepared are error free and correctly reflect the anticipated income and expenditure of the property for the coming year
• Assist with any special business of the Bodies Corporate and POA as required
• Preparation of levy clearance certificates
• Ensure filing is kept up to date

Minimum Requirements
• Matric
• Previous Sectional Title Secretarial experience 3 – 5 years
• Computer Literacy (Microsoft Word &Excel)
• Experience with MDA Property System
• Certificate in Paddocks Sectional Title Scheme course
• Commercial Property Experience
• Own, reliable transport

Salary on Offer: R 20 000 p/m depending on experience
