a Well established company in Northriding Randburg is looking for a FEMALE ACCOUNTANT TO:-

Provide financial information to management by researching and analyzing accounting data; preparing reports.
An accountant carries the primary responsibility for keeping accurate financial records, making sure the appropriate taxes are paid by deadlines, oversees efficient use of funds and related tasks.
MUST RESIDE IN THE RANDBURG AREA

Duties and Responsibilities

Prepare and maintain asset, liability, and capital account ledgers.
Maintain Amortization schedules and prepare journals accordingly. Post journals accurately to ERP system.
Document financial transactions by entering account information accurately and timely.
Substantiate financial transactions by keeping documents as required by auditor.
Maintain accounting controls in line with GAAP.
Guide clerical staff by coordinating activities and responses to queries.
Reconcile financial ledger discrepancies by collecting and analysing information.
Secure financial information by performing regular data base backups as instructed by management.
Maintain financial security by following internal controls and standards as set by management.
Prepare payments by verifying documentation, and requesting authorisation.
Comply with financial and legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on required actions.
Prepare special financial reports by collecting, analysing, and summarizing account information and trends.
Maintain confidence, trust and secure operations by keeping all financial information confidential.
Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Accomplish required result by performing duties as per company standards.
Contribute to team efforts and successes by accomplishing related results as required.
Prepare, examine, and analyse accounting records, financial statements, and other financial reports to assess accuracy, completeness, and conformance to reporting and procedural standards.
Compute taxes and prepare tax returns, ensuring compliance with payment, reporting and other tax requirements.
Assist FM by analysing business operations, trends, costs, revenues, financial commitments, and obligations, to project future revenues and expenses or to provide advice (Budgets).
Assist FM in developing, maintaining, and analysing budgets, preparing periodic reports that compare budgeted costs to actual costs.
Develop, implement, modify, and document recordkeeping and accounting systems, making use of current computer technology.
Prepare forms and/or manuals for clerical staff to direct their work activities.


Specific Duties:

Creditors
- Ensuring that creditors are regularly informed of payments.

- Ensuring that all creditors’ payments have the required supporting documentation on
file, e.g. signed delivery notes, proof of purchase, etc.

- Creditors to be paid and preparation of creditors list for discussion with management for
approval.

Banking/ cash book and cash book reconciliations
- Responding to all banking queries relating to credit cards, Nedfleet cards, Bank accounts.
Etc.

- Obtaining all supporting documentation for invoices being paid e.g. Invoices and Shipping
documentation needed by the bank, Liaising with the bank for any queries on payments.

- Download all bank statements for reconciliation.

- Daily Receipts from Customers to be send to Debtors department and checking bank
account balance.

- Posting all bank related transactions and performing the bank reconciliations monthly.

- Loading all payments on to the bank and preparation of batch payments for

authorisation by management.

Fixed Assets register
- Posting Depreciation journals as per FM Journals Report.

- Maintain Fixed Asset Register on ERP in accordance with FAR- Additions, Disposals and
Depreciation.



Payroll
- Post the payroll journals as per Payroll reports received.

- PAYE submission on SARS E-filing and ensure relevant payment before 7th of each
month.



Stock Control
- Preparations for the stock take, ensuring the invoices and GRVs for all stock items have been done, preparing the inventory Snap shot (if applicable)

- Exporting the count sheets and inputting of count figures

- Printing of Bar codes, if applicable

- Printing the variances and sending them to the warehouse for reconciliation, then
inputting variances correction (if any)

- Discussion of final variances with management and acceptance of the stock count.

- Answering any Queries on landed costs for sales
representatives

Management accounts
- Final Trial Balance to be presented to FM by the 7th of each month.

- Monthly reconciliation of all income statements and balance sheet accounts and
preparation of each month-end audit file, containing all supporting documentation
relevant for audit.

- Vat Reconciliation and PAYE
reconciliation.

Cash Flow
- Cash flow forecast will be done every Tuesday for discussion, all required information to
be presented to FM in order for the CFF to be updated.

- Preparation of all spreadsheets required for the cash flow forecast to be updated, Creditors Age, Sundry Creditors Age, Debtors Collections (from debtors’ department) and pending sales orders (from sales department).

- On a timely basis preparation of Mini Cash flow for weekly payments and discussion with management.

Budget
- Assist annually as per FM direction.



SARS
- VAT: Printing of VAT tax type report, comparison of the output VAT to the Sales journal
and checking that all import VAT has been included, Submission of the VAT201 and the
loading of the payment for release by management.

- VAT calculations done every month by the 25th for submission and payment 30/31st of
the month.

- PAYE: Printing of PAYE report from Payroll system and Submission of the PAYE Emp201
by the 5th of every month and preparation of the payment for release by management on or before 7th of each month.

- IRP5 Submission, for February and September half yearly submissions of EMP501.

- Submission of Income Tax in accordance with financial statements on approval of FM.

- Obtaining the Tax clearance certificate.

- Dealing with all SARS related Queries.

CIPC
- Ensuring that all returns are submitted accordingly and that all CIPC Documents are
obtained.

BBBEE
- Performing all duties in order to obtain our BBBEE Certificate - if applicable

Audit
- Preparation for the yearly audit and ensuring the Auditor has all documents to perform
the audit.

- Preparation of audit file monthly leading up to the annual audit to reduce audit costs.

- Reviewing all financials and Journals together with FM received from auditor to ensure
that all is correct and to discuss final financial statements and Journals with

management, before they are signed.

Cost accounting
- Doing reconciliations needed i.r.o. costing as required by management in order to make
decisions e.g. Transport reconciliations, etc.

- Mark up reconciliations, cost reduction calculations, etc

General Duties
- Filling out of all documents needed form accounts and sending and printing of documents needed from accounts


- Attending to any accounts related Queries received from Management

- Performing all requests sent by management which relates to accounts.

- Attending all meeting which affect the accounts department.

- Implementing Cost reduction strategies as directed by FM

- Remain focussed on the generally accepted accounting principles in order for the Accounts department to functions correctly in order for management to have access to information necessary in order to make accurate and or informed decision

Reports

Daily Reports: Daily Receipts Report / Check of Bank Balance
Weekly Reports: Cash Flow (Mini & Major – Tuesday’s)
Monthly Reports: Creditors Reconciliations
Final Trail Balance for review (7th of Month)

Payroll (25th of Month)

Commission (31st of Month)

Reporting Line

Reports directly to the Financial Manager.
