Senior Convention Sales Manager, Cape Town

 

Reporting directly to the Conventions Sales Manager, the successful incumbent is expected to assist with the management of the day-to-day operations within the Convention Sales Department and to provide and maintain the quality and standards of the Hotel within a pressurized environment.

 

Required Experience & Qualifications

 

Matric plus a recognised Events / Sales qualification

2-3 years’ experience in staff management in a management capacity

3 - 5 years hands on experience in a Sales/ Events environment within the hospitality industry

Experience in IR Management and disciplinary processes advantageous

Extensive working knowledge of Fidelio Opera / Sales and Catering

Proficiency in Microsoft packages (Word, Excel, PowerPoint)

 

Key Responsibilities

 

Assist the Convention Sales Manager by ensuring the day to day operations is executed at the expected standards as well as tasks relating to the payroll input, staff rostering , training etc.

Assist with the monitoring of staff performance and compliance to the required standard operating procedures.

Effectively supervise & coordinate the operations in order to achieve set goals and required deadlines as deemed necessary.

Hold meetings in the absence of the department manager with the operations team to discuss the forthcoming events to ensure a smooth handover.

Manage working hours and attendance of staff and maintain attendance registers.

Investigate and address cases of misconduct and incapacity as instructed by the department manager.

Assess efficiency of Department’s Standard Operating Procedures and amend if necessary.

Assess compliance to standards and do on-the-job guidance /training to address gaps.

Assist with the management of staff as deemed necessary.

Perform an administrative function pertaining to sourcing quotations, contracts / pro forma invoices and ensure that confirmation and deposits are received according to contract specifications and liaising with independent suppliers when necessary based on the clients requirements inclusive of technical companies, translation facilities, décor companies, entertainment, exhibition stand builders etc.

Liaise directly with relevant departments within the hotel to obtain rates and to ensure that all parties are aware of forthcoming events.

Ensure that all quotations are followed up on a regular basis in order to ensure maximum usage of the conference facilities.

Liaise with the client and attend on site meetings in order to discuss the events.

Compile function sheets for distribution and ensure relevant details are obtained from the client advising and assisting them if necessary.

Follow up post conferences to ensure customer satisfaction.

Liaise with relevant departments pertaining to function accounts and ensure that the client is in receipt of necessary documentation.

Conduct telemarketing to follow up on new business / current clients as required.

To take an active and in-depth role in familiarization trips, client entertaining and other corporate relationship development activities alongside members of the Sales Manager
