Job Description

Supporting management with facilitation of meetings
Compiling and typing of agendas and minutes
Distributing list executive support and office management
Assisting with billing / invoicing and payroll administration
Customer care, database administration, preparing documentation and time / ravel capturing
Coordinating and project / program support
Effectively and efficiently support and production, including typing, of legal correct, clear and well composed project related documents, tenders contracts and presentations
Efficiently assisting with tender procedures and tender compilation
Managing diary
Capturing of timesheets and out of pocket expenses
Handling of all administration related to flights, transport, accommodation, travel documentation, visa application
Assisting with processing various embassies, passport validity, forex, insurances and health care
General administrative function (filing, emails, copies, binding of documents, etc.)
Complying with the company’s internal management system
Implementing own initiative in making important decisions

Minimum Requirements

Secretarial Diploma or relevant experience
At least 10 years experience as a secretary within a engineering practice preferred
Project administration experience
