PRIMARY PURPOSE OF THE JOB:
To ensure the successful execution of final payroll runs, the interfacing with relevant financial system(s) and associated analysis and reporting of payroll data
ACCURATE AND TIMELY PAYMENTS OF NET SALARIES/WAGES AND 3RD PARTIES
Extract data from HRIS in format required by 3rdparty payment system
Ensure data in balance (data extract data with HRIS payroll data)
Upload payment data to 3rd party payment system and ensure in balance with HRIS payroll data
Management of Treasury funding request process
Maintenance of data required for 3rdparty payments, e.g. Garnishees
Final Payroll runs are executed as required to ensure timely payments
Final Payroll runs completed error-free
Payroll control record management to ensure weekly / monthly / annual processing as defined by BU and legislative requirements
Identify areas for improved efficiency and / or system utilisation and present recommendations

PAYROLL GENERAL LEDGER CLEARANCE
Ensure timely receipts of Payroll General Ledger Accounts reconciliations
Analyse outstanding items and provide clearing actions and responsibilities
Compare HRIS payroll data with general ledger provision accounts to establish over / under provision amounts
Establish fund transfer requirements as it relates to provision accounts for employee transfers
Present to Payroll Manager for sign-off and return to finance stakeholders
Identify areas for improved efficiency and / or system utilisation and present recommendations
GENERAL LEDGER INTERFACE
Extract HRIS payroll data in an interface file format defined by financial stakeholders
Timely distribution thereof to financial stakeholders to ensure data integrity and confidentiality is maintained
After posting in the relevant BU financial systems, the balancing back to SAP payroll data
Identify areas for improved efficiency and / or system utilisation and present recommendations recommendations eg: interfaces between systems to be sought & implemented after approval
LEGISLATIVE REPORTING
Extract UIF data and ensure format of reporting is in line with latest legislative requirements
Upload UIF data as per legislative requirements
Monthly verification of SARS bi-annual submission requirements
Management of master data error resolution and prevention of re-occurrence
Management of technical error resolution
Ensure payroll data mapping to correct SARS coding
Management of HRIS change process to ensure compliance where relevant including the development system requirements /specifications by investigating options, testing & obtaining approvals for selected options
Develop/update & deliver end user support documents as required
Extracts from HRIS of SARS required reporting and submission thereof as per legislative requirements
Monthly balancing of SARS payments with SARS reporting
Submission of bi-annual reconciliation
Management of SARS enquiries
Generation of employee’s tax certificates
Identify areas for improved efficiency and / or system utilisation and present recommendations
DECISION MAKING
Ensuring all employees, contractors and payroll 3rdparties are paid on time and correct
Identify issues and anomalies and decide on corrective actions
Escalate to Shared Services Manager and inform Payroll Manager when required
MINIMUM QUALIFICATIONS
• Minimum B.Acc Honours or CIMA qualifications
• Relevant SAP HCM certification advantageous
• Payroll certification / association membership advantageous
MINIMUM EXPERIENCE REQUIRED BY THE POSITION
• 5 years SAP HCM hands-on Payroll data maintenance experience
• 3 years’ experience within a payroll shared service centre environment
COMPETENCIES (KNOWLEDGE, SKILLS & ATTRIBUTES) REQUIRED BY THE POSITION
TECHNICAL/FUNCTIONAL:
• SAP HCM Payroll knowledge
• Payroll management
• South African payroll legislation, the calculation and reporting thereof
• SAP HCM payroll management
• Payroll Accounting
• Strong proficiency in Microsoft office
• Payroll business process mapping and analysis
