SharePoint Job Requirements:
Assess & Preserve Data
  • Assess status-quo and backup any data already in the system, protect data integrity.
  • Come up with data security measures to enhance security of the company’s data.
Enterprise Document & Content Management
  • Create order out of chaos with regard to internal document management practices for the company.
  • Implement document and folder organisation/nomenclature based on the company’s acceptable/industrial standards.
  •  Collaborate with team members on all documents and stay on top of who did what.
  • Ensure earlier versions can easily be restored in case someone has made too many mistakes.
  • Link Projects to related documents and vice versa.
  • Give more control over company’s documents with the content approval function.
  • Create “central” documents (and synchronize), so all team members, clients, and/or partners are able to work on the same document and make changes with tracking.
  • Enable access to updates with a click of a button.
  • Enable everyone can then sync back to the “central” document and have all edits merged into that single document.
  • Use the efficient check-in/check-out management feature to sort your documents.
  • Maintain/Improve the document structure of the company and propose ways of managing the same efficiently for the company’s users.
  • Collate the company’s and sister company’s documents into one place with structure to enable management, retrieval and maintenance.
  • Manage the entire company’s document storage and retrieval in line with organisational policy as well as industry-accepted standards.
  • Connect all the company’s branches to enable MOSS functionality enterprise-wide.
Forms & Workflows
  • Create a platform on SharePoint for forms and workflows.
  • Set up SharePoint lists, web-based forms or Microsoft InfoPath, forms.
  • Implementing high traffic, and/or existing “pain point” workflows as one of the first you take on is good strategy to gain a quick win and increase user adoption.
  • Implement the company’s procedures into Share-Point server-side workflows and enable process-automation, aiding the company’s goal of a paper-less office.
  • Implement ISO-9001 procedures onto workflows on SharePoint.
  • Load the company’s forms into SharePoint to enable online-processing.?
Reports
  • Avail the right information at the right time is for the business.
  • Create a platform to host a business intelligence solution on top of, especially for organizations with an existing investment in recommended Microsoft technologies.
  • Enable the company’s divisions/departments to upload reports online and set-up online matrix for analysis of specific metrics.
  • Design and configure new reporting requirements as they come up.
Discussion Boards
  • Set up private company and employee blogs to communicate and share ideas with team that’s viewable only by those given access to.
  • Use blogs to create better team communication and brainstorming sessions where everyone can participate when their schedules permit.
Personal Team Site
  • Enable team to access and work with data using your Internet-enabled mobile devices for added convenience while traveling or out of the office at client meetings.
Intranet/Extranet
  • Set up a secure and private place to share documents and other information with clients and/or partners.

Drive Synchronisation
  • Set up the system for teams to be able to work offline on files, project tasks, tasks, discussions, contacts, calendars, blogs, etc. and then sync the updated information later on with efficient synchronisation processes.
Enterprise Project Management
  • Enable a platform to quickly manage enterprise-wide projects for teams or the whole organization so MOS works as a project management solution.
  • Create a project dashboard on one page where relevant officers can view and filter on common project elements, such as: project details, project documents, project tasks, project issues, project calendar, project milestones, project lessons learned, project risks, project change orders, and more.
  • Enable and facilitate the organization of large events and store the related documents, assigned tasks, and generally post anything and everything related to the events.
  • Integrate tasks/calendars with Outlook for added efficiency.
  • Centralize where company and team project announcements are posted and enable everyone to receive notifications via email or mobile phone automatically, anywhere in the world.
Task Collaboration
  • Keep a central task location for assigning tasks to team members.
  • These tasks will automatically show up in team’s Outlook’s To-Do List.
  • Link these tasks to projects.
  • Enable & manage assigning of tasks to team members, and automatic notification of new tasks. (Alerts are to be sent when there have been updates to the tasks.)
HelpDesk
  • Implement a help ticket resolution for the organization or team without breaking the bank.
  • Develop & Configure a company-wide HelpDesk system or recommend a fully MOSS-integrateable system.
Search
  • Implement an enterprise-level search tool built-in to the platform.
  • Enable to configure, and take advantage of the robust search - a critical success criteria for most portals.
Email Store
  • Store all emails on a secure and centralized Website for easy archive.
  • Fully synchronise MOSS with MS Exchange.
Organiztional Intelligence
  • Set up and store organizational intelligence so that MOSS becomes an organisational culture for managing of information and business processes.
  • Assist the company to business-re-engineer processes to align to MOSS-based workflows and operation.
Maintenance
  • Maintain organizational data and ensure recoverable data backup processes.
  • Set Up and Run routine maintenance procedures to ensure maximum up-time as well as efficient operation of systems.
  • Run database processes to keep the database secure, safe and efficient.
Mobile Integration
  • Connect SharePoint and organisational data to enable controlled access via mobile devices.
Seamless/Unified Environment
  • Set up Office applications and Microsoft systems to work seamlessly with MOSS.
