They currently have a vacancy for a SHE Administrator to ensure the effective administration of the SHEQ department within the business.

The successful candidate will have a diploma in SHEQ discipline or equivalent and at least 3 years working in an administrative support role.

Job Description

• Co-ordinate monthly & annual SHEQ Committee meetings and collate the information necessary for review by the senior management team.
• Compiling the minutes of the meetings and maintaining the records for continuous or future reference.
• Maintain the action tracker on a daily and weekly basis (accident and incidents reports, non-conformance reports, Near Miss reports, VFL walks & Risk Assessments are done, actions closed and records are kept) to focus SHEQ agenda on priority areas on site.
• Follow up on compensation claims via Occupational Health Centre and ensure all documentations are received and filed with incident reports.
• Update medical surveillance in collaboration with the Occupational Health Centre.
• Compile contractor safety files for customers as per the Construction Regulations and OHS Act requirements.
• Ensure training records of all critical tasks and safe working practices are kept.
• Ensure training matrix is updated and follow up training gets done as scheduled.
• Maintain SHEQ reference manual and documentation including distribution of new changes.
• Capture weekly and monthly SHE stats as per reporting timelines.
• Maintain records and documents associated with the implementation and coordination of ad hoc emergency drills - at minimum 2 per annum.
• Carry out document control and distribution and communication of changes to the system.
• Ensure that appropriate records are properly controlled, whilst also managing the proper storage and filing of controlled documents.
• Ensure that documents are stored & preserved in terms of any internal and statutory requirements for the required retention periods as applicable.
• Non-Financial duties: Process SHEQ-related invoices & Payments.

Job Qualifications, Skills & Experience:

• Post-Matric qualification (diploma in SHEQ discipline or equivalent.)
• At least 3 years working experience in an administrative support role.
• Knowledge of Safety, Health, Environment and Quality Management systems would be advantageous.

• Proficient in the use of Microsoft Office suite, data bases etc.
• Number analysis from data and ability to draw conclusions
• Able to understand data input processes and check accuracy

• Ability to work under pressure, establish priorities & meet deadlines.
• Flexible – must be able to accommodate reasonable business changes that affect personal schedule.
