My client in the mining equipment space is currently seeking a Shipping Coordinator who will be responsible for all tasks relating to the dispatch & administration of export orders including preparation of documentation, arranging shipments and expediting orders and documents.

Duties include:

• Order advice / pro forma sent to customers as required
• All relevant documentation is prepared for each export job and checked for accuracy prior to sending out
• Invoices and credit notes are generated or requested for each export order when necessary
• Files received from Export Administration team, are checked and queries resolved
• Freight forwarders are contacted to obtain estimates for transport for each order and this is added to the export job, where applicable
• Shipment of cargo is arranged within specified period as per request (This is to include coordination of receiving/packing of containers for relevant mode of transport)
• Follow up with freight forwarders for shipping details and to obtain relevant documentation back within agreed period
• Jobs are expedited with relevant departments
• Goods in Shipping Warehouse are checked against production check list and any queries resolved
• Export status report is updated at least weekly and export logbook is updated daily
• Files for completed shipments given to Export Administration for compliance check, closure and filing
• Customers are updated on the status of jobs and relevant documentation is sent to customers as per departmental procedure
• Documentation is compiled as per legal requirements and correct incoterms are included in export documentation

Minimum Requirements:

• Minimum qualification of Matric/Grade 12
• Export related qualification advantageous
• At least 3 years’ experience in a manufacturing and exports environment (non-neg)
• Displays knowledge of all export related functions and understanding of incoterms and risk management as it relates to exports
• Keeps up to date: Stays abreast of current developments and trends in all rules and regulations related to exports
• Planning and Organising, Follow Up, Initiating Action, Quality Orientation and Customer Focus skills
• Proficient in Microsoft Office Suite (MS Word, MS Excel and MS Outlook) and JDE
