JHB WORKSHOP ADMINISTRATOR – Salary Range R 9000 to 11 000pm incl.
JOB PURPOSE
Receive electric hand, air and hydraulic tools etc. in for repair/service
from Customers, capture open job cards on system, inform Customer of
quotes, follow up and obtain acceptance before going ahead with repair
or service. Deal with Customers in a professional and friendly manner,
telephonically, via email and in person.

MINIMUM QUALIFICATIONS REQUIRED:
Matric
Certificates in office administration and Customer Service preferable
2-3 years working experience in the machine tool environment essential

OTHER REQUIREMENTS
Must be willing to occasionally work extended hours and on weekends

DUTIES
Receipt of Customer Repairs
Receive incoming machines with relevant invoice / proof of delivery from courier
Open job card immediately upon receipt of machine and record all details on card clearly
Ensure that all details are correctly captured, including accessories e.g. Carry case, Plug, Battery/Charger
Record customer’s instructions on job card
Handle all outside repair agents as per Outside Repair Procedure

Quoting of Repairs
Provide accurate quotations from Technicians to Customers regarding their repairs / service
Follow up all quotations given to Customer within timelines
Capture all Customer feedback in system, after each phone call, at every stage of the process
On acceptance of quotation by Customer, generate picking slip for spares from stores
Ensure accurate collection for returns, of jobs not accepted by day 30 after quoting
Once technician has repaired item and returned job card, capture on system and invoice Customer

Safekeeping of Repairs and Company Assets
Ensure safe, correct filing of job cards and relevant document at all times
Take all reasonable precautions to protect Customer/ Company property while stored in designated areas

• booking of equipment for spares - Adhere to all safety regulations and Workshop procedures, including levels of authority, to minimise theft, shrinkage and wastage
