Job Title Administration Assistant

Purpose statement Internal and external customer services support in an administrative processes role.
Position in the organisation Reports to:
Executive: Wealth Services

Job objective To assist with the smooth operation of administrative processes within the office environment
Duties:

1. Filing
1. Ensure filing is up to date by scanning client files into CRM system.
2. Maintain orderliness of filing room for the necessary originals (Trusts & Wills).
3. Co-ordinate proper shredding process as per regulatory framework.

2. Mail
1. Ensure all mail is counted and reconciled with the post register and stamp stock.
2. Deliver & Collect mail from Post Office.
3. Distribute EFW mail within company collected from office post box.
4. Distribute “return to sender” post to relevant Assistant.
5. Administer Courier Register and process.
3. General Administration 1. Ensure that office stationery and consumables are adequately stocked and controlled.
2. Projects: Ensure proper recording of Client records / documentation and maintenance of static information in accordance with company
policy on CRM.
3. Ad hoc duties, that include but are not limited to Wealth Assistant/Receptionist work to relieve staff on leave.
4. Co-ordinate the Client Wills and Testament process and issue confirmation letters and Will Receipts.

4. Marketing
1. Arrange and coordinate meetings as required in terms of food and beverages.
2. Arrange client functions in consultation with management.

Matric
Experience:
2 years admin experience is essential with 1 year in financial services industry advantageous.
