manage the Admin, Accounts and stock for the whole company. In other words pick up the slack where needed as it’s a small staff compliment but a fair sized business. +-60million turnover a year.
3 Direct Staff (Receptionist/bookkeeper/Stock controller)

DEBTORS
Full control of all debtors (Invoices are captured and posted by the sales people)
Statements and pod’s
Credit control
Approving of cash sale
Bank statement download and daily allocation of payments/credit card payments done. All notifications of cash payments to sales
Customer accounts monitoring on Pastel as well as creation of accounts and housekeeping
Report to Sales in meeting weekly
Clearing of forex received with bank (2-3 per month)
Outward forex preparation of documents for bank (2 per year)
Preparation of documents for bank guarantees (1 per year)
Legal queries in conjunction with our lawyer
Customer refund approvals

MONTHLY
Roll over of pastel periods
Place customer accounts on hold
Check and approve monthly creditors
Prepare management accounts for accountants
• Check accruals
• Check all g/l allocations and postings do adjustments
• Check all balances and bank balances
• Prepare income statement and balance sheet from pastel report writer
• Email to accountant and managing director
Recon VAT201 and complete on SARS
Check EMP201 is sent from bookkeeper to accountants for processing on their side (Weekly wages are done by bookkeeper)
Monthly Salary is prepped ie leave, deductions and changes done from me and emailed to Accountants for processing
Maintain leave schedules for weekly and monthly payrolls
Reconciliation of our main supplier – all the other suppliers are done by the Bookkeeper
Reconciling of sales staff cash sale accounts
Cash flow

HR
Employment Equity plan and quarterly meetings – we do have a consultant to help prep is done by me
(WSP) Work skill plan and submission – we do have a consultant to help prep is done by me
(ATR) Actual training report – we do have a consultant to help prep is done by me
Staff training
Learnership applications with Merseta – we do have a consultant to help prep is done by me
Learnership monitoring monthly as well as meetings with Merseta to check on grants approved and paid
Issuing of Temporary contracts and update of them every 3 months
Staff medicals – ensure these are done timeously and within expiry
Marketing – when and where necessary in conjunction with sales

STOCK
Holistic management of inventory (Stock controller handles all day to day as well as stock counts
Inventory journals

GENERAL
Maintain Subscriptions
Maintain government/vendor/municipality databases - lots
WCA submissions yearly plus handle claims
Health and Safety files assist in preparation of files or in conjunction with a outside Health and Safety officer
Approve credit applications, documenting and collection of all records in files as well as electronically
Complete supplier credit applications
Complete tender documents
Maintain all company documents
Assist with our main supplier audits of our systems as well as warehouse/factory
BBEE audit
Vehicle fleet financial reporting receipting and reporting
Company insurance handling of queries and claims
