Internship Overview

We are looking for an assertive individual who is willing to learn, has the ability to think outside the box and work independently.

Duties & Responsibilities
Answering all switchboard calls in a timeous manner & in a friendly manner.
Providing the best customer service to the client & ensuring all their needs are met.
Obtaining all of the clients’ details from them over the phone and emailing the information to the line manager
Attending to all email requests on the same day they came into the mailbox.
All emails need to be tagged accordingly & actioned timeously.
If the email is a priority and you need to complete a task for this email, you add it to your Keep list & regular updates are to be added daily to the keep list until the task is complete and closed.
All Keep List tasks need to be closed in 24 hours unless there is a valid reason for the delay.
General filing & filing of completed job cards. Complete job cards require that you update the databox to confirm the job is loaded and marked as invoiced).
Copies of all job cards and drawings are to be scanned and uploaded to the databox system.
Generating quotes to obtain purchase orders.
Making bookings for incoming jobs & follow-ups on tentative bookings daily.
General office admin
Loading new contracts on databox and ensuring there are re-occurring entries on the system for the year. (at the beginning of the year you will need to check this and extend all contracts).
Checking schedules and sending the schedule to each team every morning, as well as a preparation on a Friday for weekend works they need to be aware of.
Keeping the emergency roster up to date and issued when due.
