GENERAL DESCRIPTION OF DUTIES

The Office Administrator is responsible for the general administration in the office which include, but are not limited to, administrative and clerical support; supporting the executive director/s, HOD’s, and co-ordinate and consolidate between various departments and Head Office and finalising the day with extensive reports.

QUALIFICATIONS & EXPERIENCE

• 5 – 10 years’ experience in a similar role
• MS Office proficiency with exceptional skills in MS Excel and MS Outlook
• Fluency in English – speak, read and write
• Exceptional ability to co-coordinate, multitask and consolidate
• Extensive reporting experience
• Personality type – friendly, good communicator, be able to work unsupervised and attention to detail
• Experience with stock management, purchases and suppliers
• Valid driver’s license

JOB DUTIES AND RESPONSIBILITIES

• Administer and perform administrative duties
• Stock – compile stock lists, maintain stock levels, sourcing and managing of suppliers, ordering of stock and ensure payments are done timeously
• Manage office and various departments supplies and equipment
• Coordinate HR, Workforce, Recruitment and staff issues with the HR Manager at Head Office
• Filing of all documents and maintaining all files, including staff-, suppliers-, compliance etc.
• Receive guests, clients, suppliers, technicians and any other visitors to the business
• Perform and manage correspondence
• Communicate and act as a central point between director/s, HOD’s, Head Office and other stakeholders ensuring communication channels are effective
• Liaise and coordinate orders and payments
• Manage cleaning and support staff as directed by Head Office
