Job Title Client Onboarding Specialist

Duties

Responsibilities
Advisor Support
- Must a adopt a flexible attitude as the role may alter with an ever-changing environment.
- Build and maintain ongoing relationships with internal and external advisors.
- Provide training to current and new advisors and their assistants on products and processes.
- Continuous follow-up with the advisors and their assistants to ensure the advisor understands the process and how to complete the all the
relevant forms.
- Assist advisors and their assistants throughout the account opening process with Mandates, Local Applications, Switches, transfers,
withdrawals, Global Applications, Investec CCM accounts, Tax Clearances.
- Keep advisors and their assistants informed during various stages of the account opening process, including the expected turnaround time
from submitting documents to the physical opening of client share portfolio accounts.
- Preparation and monitoring of mandates and management fees on various Stockbroking platforms.
- Once account is opened, supply advisors and their assistants with a statement of current holdings and confirmation of the type of portfolio in
which their clients have been invested in and the associated management fees.
- Provide advisors and assistants with client account statements when requested.
- Distribute month end and quarterly client account statements.
- Keep and maintain all client records electronically and in hardcopy.

Client Support (Direct Clients)
- Assist clients throughout the account opening process with Mandates, Local Applications, Switches, transfers, withdrawals, Global
Applications, Investec CCM accounts, Tax Clearances.
- Distribute client account statements on a daily basis, monthly and upon request.
- Proactively manage and assist clients with any and all queries that are sent through via email, or telephonically.
- Keep and maintain all client records electronically and in hardcopy.
- Update client information on the EFPC Client List including portfolio values, new clients, cancelled mandates, new assets under
Management amounts for reporting and revenue purposes.
- Forward any cancellation or withdrawal requests and instructions to the relevant EFPC admin person for execution and invoicing.
- Inform clients about the turnaround time applicable to the liquidation of portfolios once they have cancelled their mandates.
- Continuous follow up with Stockbrokers to ensure clients liquidation instructions have been processed.

Asset Management Support
- Inform the Asset Management team of new accounts that have been opened and mandate cancellations.
- Inform the Asset Management team of any specific client instructions and new deposits into client accounts.
- Report any errors on the client’s accounts.
- Provide statements and reports to the Asset Management team upon request.
- Continuously communication concerning developments in client accounts with the Asset Management team.
- Provide the Asset Management team with any required information concerning clients or their accounts.

Internal Reporting
- Update the Client List at month end in order to prepare financial and advisory reporting (invoicing for fees, advisor commissions and Assets Under Management).
- Continuous reporting to advisors, the Asset Management team and finance department on portfolio inflows and outflows.

General administration
- Opening and closing of client accounts.
- Liaise with EFPC and Efficient Wealth compliance regarding advisor onboarding, including their required license categories.
- Continuous management of Investec CCM accounts, including payment requests and distributing client statements.

Job Evaluation Criteria Education:
- B Comm. Or similar business degree or qualifications

Language proficiency:

- Must be fluent in Afrikaans (speak, read and write) and English (speak, read and write).

Experience Required:
- Minimum of 5 years’ experience within the financial industry and at least 5 years in an administration role.
- FAIS experience.
- Experience within a client service environment.

Critical Competencies
Knowledge
- Highly computer literate with proven proficiency in MS Office (Word, Excel, Outlook and Power Point)
- Excellent understanding of the financial markets and financial instruments
- Current, relevant experience within a financial services industry as well as a strong understanding of financial markets and financial
instruments
