Main purpose of the job:
The Events & Marketing Lead is responsible for planning and delivering all organisational
events, coordinating with external service providers for successful execution of event
logistics. Leading organisational communications and promoting the organisation and its
activities through the organization’s social media channels and website.

Key Performance Areas
Leadership & Accountability
• Implement relevant goals from the organisation's business plan, in alignment with vision and mission and plans.
• Uphold the organisational values, embracing the diversity of views, backgrounds and cultures of colleagues.
• Undertake regular reporting on performance in alignment with stated milestones and goals.
Planning
• Assist the COO in the development of:
? business plans, policies, systems and procedures relating to events and marketing.
? annual budgets in collaboration with the various department leads/managers
• Support the COO in communicating and implementing the above.
Marketing
• Support organisational activities and programmes, including ensuring
? stakeholders and partners are kept informed through a range of communications mechanisms, including, but not limited to print, website and social media
? management of external marketing & communication service providers, in collaboration with the CEO.
• Monitor, manage and update the organisation’s social media platforms, including development of online profiles, regular updating of profiles and researching best practice.
• Support the CEO & COO in developing and disseminating communications both internally and externally.
External Events Managements
• Develop and disseminate the annual organisational Events Calendar in collaboration with department heads, the CEO and COO;
• Formulate detailed short and medium term planning for events, prioritising and scheduling preparatory work to ensure smooth running of all events.
• Oversee, Manage and Execute Event Plans, ensuring full details are covered, including:
? Streamlining events planning, management and procurement, ensuring both annual and detailed events planning
? Development of fit for purpose events check lists for each different type of event
• Maintain and update plans, as required, ensuring full details are covered, including:
? Identification and booking of venues & accommodation.
? Invitation lists for each event.
? Child safeguarding and supervision, including indemnifications.
? Check lists for scholars & students for weekend events.
? Transport.
? Equipment & materials.
? Catering/menus.
? Close out assessments and reporting – feedback loops on events logistics and related.
• Communicate with the CEO in relation to Executive Lead events (such as Board meetings), providing support, as required.
• Work with Matric Committee in planning Matric Dinner.
• Research external service providers and venues, developing, updating and maintaining vendor list and developing strong relationship with key contacts.
• Document, update and maintain events coordination business processes, disseminate and ensure accessibility to all staff:
o Orientate and Train all staff on required standards and processes;
o Conduct event debriefing sessions in close collaboration with the Programme Team and when required with the CEO and/or COO.
Internal Events Coordination
• Undertake full coordination of all events, working closely with programme lead for each different type of event, ensuring effective and successful events.
• Project manage events, dealing with changes and problems as they arise.
• Arrange for the production and delivery of Board meeting packs in collaboration with the M&E Lead and the COO.
• Oversee all child safety related issues, including indemnifications, first aid, sufficient supervision
• Supported by identified roleplayers ensure that the required risk mitigation strategies are in place for all events.
• Draw in and coordinate work of colleagues and vendors, as required, overseeing smooth running of events.
• Oversee and manage the successful delivery of events.
• Undertake post event close out evaluations and reporting.
Organisational Marketing, Brand Management & Communications
• Oversee and manage the development of a marketing & communications plan for both internal communications and external marketing & communications;
• Ensure that the organisations marketing and communications plan is in line with the Vision, Mission, Values and Startegy.
• Oversee and ensure:
? stakeholders and partners are kept informed through a range of communications mechanisms, including, but not limited to print, website and social media.
? management of external marketing & communication service providers, in collaboration with CEO.
• Management and maintenance of the organisation’s social media platforms, including development of online profiles, regular updating of profiles and researching best practice (including, amongst others, the Website, YouTube Channel and Social Media Platforms)
• Develop content in collaboration with Approved Content Developers and Programmes Team.
• Ensure high-quality rollout of communications on all identified platforms.
• In support of the CEO and COO ensure that the Organisational Brand/Reputation is well managed and implement all of the required risk mitigation strategies to ensure this.
Operational Administration
• Implement all operational policies, procedures and systems.
• Oversee and coordinate all administration relating to Events, working in close collaboration with the COO and Operations Manager in this regard
• Oversee and coordinate all internal organisational events and calendar (e.g. Online Meetings, In Person Meetings, Staff Meetings, Workshops, Planning Sessions etc.):
? Identification and booking of venues & accommodation.
? Invitations and Partipant lists for each event.
? Equipment & materials.
? Catering/menus.
? Close out assessments and reporting – feedback loops on events logistics and related.
• Assist in operational work within the organisation, as required and where relevant.

Client /Stakeholder Management/ Events
• Participate in Partner-related social events and entertaining as required, and assist with preparation and set-up of such events;
Ethics & Risk
? Ethics - Maintain highest ethical standards, supporting all mechanisms required to ensure this.
• Risk - Assist the Operations Manager and COO in the development, implementation and monitoring of the Organisations Risk plan.
Human Resources
? Assist in the training of new staff, as required.
? Adhere to the fair application of HR policies and procedures .
? Contribute to a positive, safe and healthy work environment.
• Undertake skills transfer, as required.
• Oversee and manage and the Marketing & Events Alumni Intern Position.

Requirements of Job
Relevant events, project management, communications or marketing related qualification or proven experience to the required level
• 5 years relevant experience, including events, marketing or relevant related experience.
• Experience in social media content development and rollout, icl website management.
• Knowledge of events management, systems and processes.
• Knowledge of website development and maintenance (e.g. WordPress)
• Excellent organisational skills, with high levels of attention to detail, and comfortable developing and implementing operational systems.
• Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with all team members and stakeholders.
• Track record in project management.
• Proven ability to juggle a complex workload, prioritise effectively, take the initiative, problem solve, be flexible, and work with minimal supervision.
• Demonstrable proficiency in MS Word, Outlook, Excel, Power Point and internet use.
• Trustworthy and reliable, with the ability to handle confidential information discreetly.
• A driver’s license and own transport is a requirement.
• InDesign or Photoshop skills would be advantageous.
• Sound knowledge of social media marketing tools.
• Highly organised, self-reliant, good problem-solving, results-oriented, multi-tasker with superior management skills and excellent judgment.
• Decisive decision maker with the ability to prioritise and communicate key objectives and tactics necessary to achieve organisational goals.
