PURPOSE OF ROLE:

The HR Administrator is responsible for delivering silent running HR transactional and data administration services to the business, with a strong focus on Operational Excellence in line with the business HR Policies and Frameworks. This role is a key support to the HR Manager

OUTPUTS:

HR Administration:
? Manages and maintains Employee Personnel files, ensuring that all core documents are in place and regularly updated.
? Provides administrative assistance with writing &/or updating of job descriptions/role profiles.
? Tracks and manages responses to all HR Admin queries coming from the business.
? Prepares weekly and monthly HR trackers for review by HRM.
? Prepares and ensures timely submission of all payroll documentation (e.g., contracts and letters)
? Liaise with Supervisors/Line Managers to ensure that all monthly payroll items (e.g., overtime, stand-by; employee changes, etc) are accurately captured on prescribed forms and submitted to payroll before monthly cut-off time.

Reward and Performance Management
? Provides administrative support in Performance Review processes, ensuring that all Performance ratings recorded, and relevant PM documentation is filed in employee personnel files.

HR Coordination
? Schedules and manages logistical arrangements for Employee Engagement sessions & People sessions in own area of responsibility and/or responsible location.

Recruitment, Selection, & Placement:
? Prepare notices and advertisements for vacant staff positions.
? Coordinate the scheduling and organizing of interviews, in liaison with the Talent Sourcing Team
? Coordinate the screening of applicants and preparation of candidate short-list/s – in liaison with the HR Manager and Line Managers.
? Prepares Orientation/Induction packs for all new joiners and ensures that all new recruits’ documentation is completed accurately and timeously.
? Manages all logistical arrangements for induction sessions and ensures that relevant attendees are invited
? Organizes and coordinates the ordering of work tools (e.g., Laptops; stationery, etc.) for new recruits.
? Ensures that all new joiners’ documents are submitted to payroll timeously and that personnel files are updated.
? Ensures all regret letters are sent to unsuccessful candidates – in coordination with the HR Manager.
? Ensures that the Recruitment System and Vacancy Trackerare updated monthly and vacancy status is regularly updated as appropriate.

QUALIFICATIONS

Minimum degree or equivalent qualification in HR and or related field

FUNCTIONAL/TECHNICALCOMPETENCIES

? SAGE HR system experience
? Understanding of Reward and Compensation processes
? Understanding of Learning and Development approaches
? Human Resources information systems understanding
? BCEA, Employment Equity, Labour Relations Act and Skills Development Act
? Human Resources and Company Policies and Procedures
? Minimum 2 - 3 years’ experience in HR role(s) in a comparable environment
