HR ADMINISTRATOR – JOB DESCRIPTION:

The ideal candidate needs to be energetic, enthusiastic and proactive in their work manner. The Role will require extensive interaction with Drivers, Workshop employees, Admin employees and Managers. The Role will require a suitable candidate that is professional on all levels in order to meet the needs of the business requirements.

Minimum Qualifications and Requirements:
- Grade 12
- In-depth knowledge of the operating and legislation requirements of the transport and logistics industry.
- Excellent communication skills in English/Afrikaans (speaking, reading and writing).
- Knowledge of TETA accredited training requirements would be an advantage.
- Assessor & Moderator certificate and registration with TETA would be advantageous.
- Must have working knowledge/experience of payroll’s, HR administration, Recruitment processes and benefits for employees.
- It would be advantageous if the suitable applicant has experience in the Bargaining Council of the Road Freight Industry.
- Suitable person should be able to communicate in English and Afrikaans. [IsiXhosa and IsiZulu would be advantageous.]
- Own transport.

Key responsibilities:
- HR Administration:
o Capturing and recording weekly schedules of driver’s attendance;
o Reviewing drivers leave planning and cycles;
o Daily employee roll call and time and attendance tracking;
o Tracking, controlling and managing time and attendance of employees by notifying absence and requesting mangers feedback on employees absent;
o Monitoring employee attendance against Overtime schedules;
o Following up on leave schedules and planning;
o Drafting, controlling and issuing of employment contracts of fixed term and permanent employees;
o Administrating all admin functions work for payroll input;
o Maintain employee files and leave records;
o Ensuring all HR admin on employee files is up to date and correct;
o Maintaining manual files;
o Managing induction program and diary entries for employees in probation and induction;
- Workman’s Compensation:
o Recording, investigation and following through on WCA case submissions;
o Monitoring progress and actioning returns on Claims;
o Ensuring cost control and management reporting on Claims processes;

- Industrial Relations:
o Managing employee interactions on Incidents, fines, loans. {confidential activity / processing].
o Monitor employees on wrong doings’ and also filing / categorizing warnings where required but short of Final warnings;
o Ensuring Performance management controls are in place for managing employee assessments on a Quarterly basis;
o Reviewing employee performance with Line managers and assisting with concerns that require training;
- Performance Management & Training:
o Co-ordinating training schedules and bookings for employees to ensure they attend training;
o Controlling of Learnership and Apprenticeship schedules;
o After performance review, managing employee planning for training and support / counselling follow-ups;
o Recording reviews and diarising future appointment for reviews;
o Reviewing employee files from training and ensuring documentation is correct and completed correctly;
- Payroll:
o Will be responsible for monthly payroll transactions.
o Will have to conduct the full payroll process and manage the payroll processing from input, capturing and processing timeously each month for departments to ensure that the payroll processing is achieved monthly for the payroll deadlines.

- Recruitment:
o Drafting initial Job Specifications and KPI identification in roles;
o Drafting adverts and managing the advert placements with Agencies / Recruitment system (Pnet / Linkein / Careers 24, etc.);
o Initial candidate screening for suitability for placements of the candidate for Culture fit;
o Sourcing, screening and handling of administration within the recruitment of employees – including controlling the references, credit and criminal checks;
o Junior position placements and assistance with Casual appointments, ensuring the full function of the placement process is concluded and documentation complete for all placements;
o Benefits control and full function explanation on Benefits.

- Other (Adhoc basis):
o Managing the Health and Safety program inline with the OHS Act;
o Daily support for HR Manager and other management functions;
o Payroll back up for relief of Payroll Administrator.
o MEDICAL TESTING ASSESSMENT:
? Arranging and Confirming Medical Testing of Drivers / Employees;
? Performing Driver / Employee Interview prior to the test;
? Manage and confirm the results on the completion of the tests.
? Record, communicate and file all medical results.

Key Accountabilities;
- Assist with the preparation and scheduling of training interventions.
- Managing the Adim function of HR and also ensuring employee files on the SAGE system are up to date;
- Ensuring all filing activities are completed correctly and up to date at all times;
- Will be required to be support for the HR Manager and Payroll Administrator for employee’s administration.
Will report into the Human Resources Manager.
