4 MONTH CONTRACT HR PRACTITIONER - CAPE TOWN - TO START A.S.A.P.

Purpose:
This post forms an integral part of the Human Resource team and entails HR functions across the organization with particular focus on Recruitment & Selection, Induction & Probation, Training & Development and Performance Management.
Responsibilities:
Recruitment & Selection
• Consult with managers on their respective recruitment needs
• Present the Job Spec in a predefined format
• Post Job adverts to online dashboard and website, as well as any other recruitment platforms upon request
• Liaise with various recruitment agencies, maintain relationships with agencies, and negotiate appropriate rates.
• Track applications and report back to line manager on progress
• Download and distribute the applicant summaries to the relevant persons involved
• Shortlist upon request
• Liaise with candidates and set up interviews and all necessary logistics
• Manage full recruitment campaigns for all temp appointments and other positions as needed
• Prepare all recruitment packs and ensure timeous completion of interview guides
• Ensure candidate feedback takes place following the interviews
• Initiate process for conducting background checks and psychometric assessments as well as ensure all the relevant documents are received by the candidate for onboarding process
• Conduct reference checks and save in shared folder.
• Provide swift handover to Rem & Ben Specialist for preparation of offer/contracts
• End recruitment process with closing job and regretting unsuccessful candidates
• Prepare welcome packs for candidates and arrange induction programme.
Manage Employee Induction Programme
• Review and update programme as needed
This is currently under review as we’re seeking a more efficient process of conducting the induction
Manage Employee Probation Period
• Monitor Probation periods & liaise with respective line managers one month prior to contract ending for drafting of probation letters.
• Get sign-off from LM and HR, store for records and submit to candidate
Coordination of Performance Management system – This is also under review
• Assist with implementation of Performance cycle across organization
• Track receipt of KPI’s and development plans during performance cycle
• Receive and store all staff KPI discussions on shared drive
• Review individual development plans to identify training and other development needs
Training & Development
• Liaise with staff and line management on training needs
• Ensure proper completion of training application and sign-off before processing to finance
• Ensure accurate filing and capturing on data for Skills Development reporting
• Follow up with staff after training to ensure proof of training is received
• Engage with staff to set up training as per development needs
• Work with various suppliers to create a preferred supplier database and negotiate preferred rates on various training options
• Initiate/liaise with line managers when staff development needs are identified, through the HR Executive
Organisation Culture / Employee Engagement
• Design, implementation & facilitation of projects that support org culture and employee engagement
• Conduct stay interviews with staff at different periods in the employee life cycle. Save findings and report trends back to team.
• Work on special projects as they arise
• Stay up to date on trends in the field and keep team informed of new systems and innovative ideas that could be adapted – attend HR workshops and conferences and feedback learnings to the team
Manage & maintain employee records
• Employment contracts & employee files to be maintained
Internal HR Staff Communication
• Central point of contact for all official staff communication
• Liaise with units and teams to set up and arrange weekly lunch time Brown Bag Sessions and quarterly Staff Info Sessions
• Stay up to date with core events in the annual calendar and arrange ideas as needed
• Facilitate involvement of different regions in staff initiatives
• Attend unit meetings as directed and provide HR input where necessary
• Arrange and coordinate quarterly administrator meetings including agenda items
• Lead on self-managed peer group coaching sessions with Administrator group and ensure regular communications/check-ins formally or informally done so as to build a trusted relationship and provide support where needed
• Gatekeeper for the Panda Passport initiative – encourage ‘stamp worthy’ events and initiatives and drive staff participation. Keep a record and track leaderboard.
HR Team administration
• Processing of all invoices
• Writing up memos for cash requests
• Booking of travel and accommodation
• Arranging venues and catering when required
• Meeting with various suppliers depending on the need, etc.
Requirements:
- HR Related qualification
- Minimum 5 years Generalist HR experience specifically: HR Administration, Recruitment & Selection, Performance Management, Training & Development
- Experience in managing and working with online Recruitment platform and SAGE/VIP HRIS
- Able to build relationships with a strong client focus, good interpersonal and communication skills
- Excellent computer skills: MS Office & Social media
- Analysis and problem solving ability
- Ability to prioritise and multi task and self-manage
- Self-motivated individual with high energy and drive
- Good planning & organising skills
