Duties:

• Imports and Exports:
o Perform general office duties
o Apply and adapt to Imports and Exports protocol
o Ensure that Imports and Exports operate within the legal requirements stipulated via SARB, SARS and shipment files are filed and stored as per Import and Export requirements
o Work closely with Procurement, Treasure and the International AP controller – aligning key requirements and responsibilities pertaining to Imports and Exports
o Lease with Freight forwarder regarding project requirements, estimates, collections of consignment and define timelines
o Understand applications of Incoterms
o Ensure documentation for all Imports and Exports are correctly processed through Customs – obtain relevant VOC’s if required

• Imports:
o Communicate relevant documentation to Treasury in order to book forward cover on Imports
o Application of Imports permits depending on the Imports commodity (NRCS / DOA)
o Assist procurement with listing of new item lines imported – in line with company requirements
o Ability to provide an estimate landed costing on Imports projects
o Ensure that we are aligned within Exchange control regulations and correct Imports documents are submitted to SARB via the International AP controller
o Continuous updating of the Imports Tracking schedule report and inform BU of ETA
o Ensure that the Warehouse Manager, Inventory Manager and Supervisors are informed in advance of Import container arrival
o Manage and oversee all Imports inspection request on arrival of the consignment in order to obtain release
o Obtain final Imports documents and pricing from the Freight forwarder in order to update the landed costing
o Ability to negotiate possible credits with Shipping line and Freight forwarder towards Imports consignments delayed
o Provide support to the International AP controller and authorized Dealer (RMB) for any Imports documentation requested
o Understand all Imports project requirements, define risk and provide guidance concerning Exchange control and Customs and Excise
o Manage in-country relationship with Supplier and obtain all relevant Imports documentation required

• Exports:
o Monitor and report on Foreign proceeds received as per Exchange control legislation
o Manage daily and report weekly on Inventory control for stock locations
o Ensure Exports picking progress is updated daily and communicated to relevant BU’s – Planning and Operations
o Monitor and manage Exports staging capacity throughout peak periods, ensuring space availability for picking, inspections and loading to continue
o Ensure that the correct process is followed concerning product recalls communicated
o Monitor and report on shelf life requirements
o Manage and report on consignment shortages / overs.
o Ensuring that the claim control sheet is updated, investigations executed within the time frames and corrective measurements taken according to EC and SA VAT Act legislations
o Understand the documentation requirements pertaining to the Exports of perishable shipments
o Monitor Debtors accounts closely and provide support to AR for releasing of foreign funds and allocating payments
o Oversee and manage Government inspection requirements – ensuring that product labeling and specifications are adhered to
experience within the industry.
o 2-5 years in managing the entire export / import process, not just overseeing administrative duties with compiling the docs.
o Actual practical experience and exposure within the Industry.
o Knowledge of Exchange control, VAT and how to apply to Imports and Exports
o Knowledge of SADAC imports/exports policy

Education and Skills:
• 2-3 years’ experience in Imports and Exports administration
• Experience in Debtor’s management is essential

Knowledge:
• Understanding of Exchange Control and timelines (SARB)
• Familiar with all aspects of Importing – VAT & Importing, Customs & Excise, Port & Plant Health and Department of Agriculture
• Knowledge and understanding of Exchange Control
• Familiar with Commercial terms and Marine Insurance
• Knowledge of Incoterms
• Familiar with all aspects of Road, Sea or Airfreight Imports
• Good Organizational skills
