Kontak Recruitment, IT Division, is currently recruiting and hiring for an IT Infrastructure Project & Cost Controller vacancy based in Westville, Durban. The Successful candidate should have previous Project specifically with and IT Infrastructure background & Strong Finance & cost control experience with the IT infrastructure field and will be responsible to administer and lead minor projects under the guidance of the Senior Project Coordinator, respective team leads and managers. To provide administrative and coordination support to the IT Team, procurement and finance teams etc.

Educational Requirements:
Relevant qualification
Min 2-3 years’ experience in Project Administration ( IT Infrastructure projects)
Min 6 months experience in project coordination overseeing delivery of projects specifically with IT infrastructure
Hands on experience with software that supports project management responsibilities (Trello, Microsoft Project etc.)
Excellent computer literacy essential – MS Outlook, MS Word and MS Excel etc.

Project coordination IT Infrastructure:
Project coordination responsibilities will be around IT infrastructure projects…it will involve set up/upgrading of PC labs/Sound labs/offices, cabling, access control, voice, system migrations, etc.
Coordinate and oversee minor, simpler projects e.g. Service Desk, Printer Billing and consumption, minor office relocations etc.
Successfully ensure delivery of minor projects in line with project plans, budget, scope and quality
Effectively manage resources including contractors
Maintain accurate and current records and provide timely feedback to Senior Project Coordinator on project progress, including budget, while highlighting deviations
Coordinate constructive and progressive project meetings, providing meeting minutes/list of action items and follow up on resolution ahead of meetings
Manage project change requests in line with the approved change management process, maintaining records in a central project repository
Accurate recording and monitoring of issues and risks. Regularly communicate to Senior Project Coordinator with update on progress

Finance Administration (This is the most important aspect of the job role):
Strong management of IT Project and operational expenses and billing function
Obtaining quotes for IT hardware, software and services
Capturing invoices and payments on the procurement system
Placing orders with the vendors and receipt on the system
Interrogating and validating project and monthly operating expenses ahead of management approval
Investigating and resolving billing discrepancies with service providers
Raising credit notes as required, based on investigations
Resolving historic payment queries and working with service providers and finance team
Actively following up with finance on urgent payments
Reviewing service provider monthly statements to ensure accounts are current
Highlight overdue accounts
Ensure compliance with payment plans by working with service providers and the finance team
Monitoring IT contracts and raising these, ahead of renewal, for review.
Ongoing monitoring and verification of IT operational Costs/invoices
Coordinate IT purchases on Fraxion in line with company standards, tracking approvals and payments
Provide support to IT projects team (sourcing floor plans, completion of number porting documents, courier of equipment, maintaining updated campus contact information)
Coordinate events and functions e.g. Microsoft Workshops
Coordinate travel, accommodation, car hire, transfers and expense claims requests
Prepare reports, presentations, etc. as requested
