Junior Director Personal Assistant – 12 Months
PURPOSE OF THE POST:
To render a secretarial support service to senior managers

Provides secretarial support/receptionist support service to the manager
• Receives telephone calls in an environment where, in addition to the calls for the senior manager, discretion is required to decide to whom the call should be forwarded.
Renders administrative support service
• Ensures the effective flow of information and documents to and from the office of the manager.
• Safe keeping of all documentation
• Collate and compile reports i.e: progress reports, monthly reports, management reports.
Provide support to the manager:
• Scrutinizes documents to determine actions/information/other documents required for meetings.
• Draft, collect and compile all necessary documents for the manager
• Record minutes/ decisions and communicates to relevant role players, follow-up on progress made
• Prepare briefing notes for the manager as required
• Coordinates logistical arrangements for meetings when required
Provide support to the manager with the administration of the manager’s budget:
• Collect and coordinate all the documents that relate to the manager’s budget
• Assist manager in determining funding requirements for the purpose of MTEF submissions
• Keep record of expenditure commitments and monitor expenditure
• Check and correlate BAS reports to ensure that expenditure is allocated accordingly
• Identifies the need to move funds between items, consults with the manager, and compiles draft memos for the purpose
• Compares the MTEF allocation with the requested budget and informs the manager of changes
Studies the relevant Public Service and departmental prescripts/policies and other documents and ensure that the application thereof is understood properly.
• Remains up to date regarding the prescripts/policies and procedures applicable to the work terrain and ensure efficient and effective support to the manager
• Remain abreast with the procedures and processes that apply in in the office of the manager
JOB REQUIREMENT
• Secretarial Diploma or equivalent qualification
• 3-5 Years’ experience in rendering a support service to senior management
• language skills and the ability to communicate well with people at different levels and from different backgrounds
• Good telephone etiquette
• Computer literacy
• Organisational skills
• Good people skills
• Reliable
• Good communication skills
• Ability to act with tact and discretion
• Ability to research and analyse documents and situations
• Knowledge of the legislation, policies, prescripts, and procedures
• Basic knowledge on the financial administration
