Job Purpose:

To ensure proper flow of office procedures and support the office directors by carrying out common office duties. Maintain a positive and friendly company image by acting as the first line of contact to visitors, clients/customers in person, online, and via telephone.

Responsibilities:

· Managing reception area and looking after visitors

· Communicate with relevant agencies to produce travel itineraries for business directors and employee events

· Arrange meetings by scheduling appropriate meeting times, managing the boardroom bookings and trainings, and planning refreshments

· Manage correspondence by answering emails and sorting mail

· Assisting in planning and arranging events, including organizing catering

· Handling expenses and billing cycles

· Managing the reception area and looking after visitors

· Answering phone calls and transferring them as necessary

· Drafting, formatting, and printing relevant documents

· Maintaining Office stock lists and ordering office supplies as needed

· Managing staff expense requests

· Interacting with directors and carrying out their requests

· Creating agendas and taking meeting notes

· Assisting in purchase orders and invoicing

· Maintaining accurate records for filing

· Managing outgoing post and recording data on special deliveries

· Photocopying and filing appropriate documents as needed

· Attending workshops and conferences when requested

· May take care of website functions and social media profiles if needed

Skills and Qualifications:

Grade 12 Certificate/Matric
Financial and Administration knowledge or experience needed
Prior Office Management Experience will be an advantage
Young self-starter
Strong Attention to Detail and Very well spoken
Ability to Work Without Supervision
Excellent Time Management Skills
Exceptional Communication and Customer Service Skills
Technical Skills, Including Proficiency With Microsoft Office Programs
Strong Prioritization and Organization Skills
Ability to Handle Confidential Information
Strong Record Keeping Skills
Presentation Skills, Including Welcoming Guests to Events
Ability to Multitask
