Overview
We are looking for an Outbound Planner/manager that will be responsible for all warehouse outbound functions, that involves the accurate processing and dispatching of stock from the warehouse


Minimum Requirements:
Matric
Between 4 to 5 years’ experience in a similar role
Proficiency in Excel, Outlook etc.
SAP experience (beneficial)
Excellent English vocabulary

Duties and Responsibilities:
Control of picked stock to eliminate overpacking, under packing and damages.
Adherence to all SOPs and ISO standards, documents, and processes.
Ensure all OHSA regulations are adhered to.
Ensure that all administration is controlled and stored in a way which is both effective and functional for the business.
Supervise outbound pickers & checkers and their daily activities.
Ensure all outbound staff adheres to health and safety standards.
Provide a safe working environment, adhering to Health, Safety and Environmental procedures and ensuring they are always understood and practiced by the team.
Ensure that all relevant procedures and processes are followed and adhered to in line with the Company’s procedures and requirements.
Responsible for accuracy and efficiency of all standard operating procedures
Define, set, and monitor stock flow models and integrate with other departments
Monitoring and approval of all departmental Over Time.
Ensures priority orders are completed AND manifested to courier
Ensure that the correct size boxes are used and that the boxes are filled up. (Failure to do so will ensure my customer receives a badly damaged box and obviously this will affect my courier cost)
Ensure the team packs neatly and adheres to customer packing requirements.
Prepare weekly and monthly reports on TAT, and team performance.
Preparation and submission of all customer reporting as per customer SLA.
Managing, evaluating, and reporting on outbound productivity.
Provides stats and stock movement to manage and monitor all KPI’s/ SLA
Optimize the continuous availability and flow of stock on demand.
Lead follow up and resolve Customer concerns.
Identify errors and eliminate root cause using robust countermeasures and sustain the corrective actions to eliminate repeat issues.
Ensure continuous review and improvements of operational processes to ensure accuracy and compliance

Assess and monitor Warehouse outbound transactions daily.
Analysis of historical data to enable efficient forecasting
Measure performance compliance and requirements as per customer SLAs.
Oversee all areas of operations within the outbound department.
Manage outbound orders to the courier. Ensure all orders are handed over within a day before COB.
Daily meetings with team to set goals and review strategy.
Ongoing customer communication to ensure trust, clarity, and quick responsiveness.
Collaborating with other departments on packaging materials.
Ensures housekeeping as per business rules and regulations.
Tracking of outbound customer orders and ensure orders are handed over on time to courier based on KPI & SLA.
Random checking of packed orders to ensure NO over or under packing of orders.
Executes and supports strategic plans as directed by the Warehouse Manager.
Works effectively with all levels of management and staff to ensure all service level agreements are met.
Ensure orders are processed efficiently and Supervisor and control order picking operations to ensure accuracy with minimum handling and stock damage.
Ensure process of tracking and maintaining productivity standards within specific area
Manage volumes and quality of work output
Oversee all areas of operations within the department
Ensure quality, accurate processing of customer orders
Ongoing customer communication to ensure trust, clarity, and quick responsiveness
Daily monitoring to ensure productivity objectives meet operation standards
Assisting with the execution of Employee Performance Management. Evaluating and setting objectives / goals for the team.
Delegation and work assignments for the Outbound team.
Development of all staff members in the department.Continually conducting refresher training for all staff in the department on the warehouse system, SOPs, and processes.
Monitoring and approval of departmental Over Time and leave in the absence of the manager.
Train, supervise and evaluate the performance of assigned warehouse employees; assign workloads to warehouse workers.
Build team philosophy and cultivate a team atmosphere by working with the team to achieve the company's targets and objectives.
Planning, managing, and adjusting staffing levels to meet daily operational requirements within the warehouse.
Measure and address the effectiveness of employee performance and outbound activities.
Provide and directs strategic goals and delegation to supervisors and clerks.
Measure and monitor team performance compliance and requirements as per customer SLAs
Daily meetings with team to set goals and review strategy
Input on hiring and placement, work assignments and delegation for the team
Analyze skill set of existing staff, identify strengths and deficiencies, and develop plan to improve or replace personnel as appropriate.
Provide development plans for improvement for individual and team growth including on-the-job training and health and safety requirements.
Execute Employee Performance Management. Evaluating and setting objectives / goals for the teams.
Able to motivate, lead and challenge the team daily to top performances
