• Responsibilities
- Fully functional in Payroll using VIP Payroll system
- Managing the complete payroll function e.g. processing of monthly payroll movements such as overtime, late & night shifts, engagements, terminations, commissions, earning & deductions etc.
- Statutory Submission UIF Declarations, IRPs at Tax year end and bi annual tax submission to SARS
- 3rd Party reconciliations e.g. Medical aid, pension fund, GAP cover, garnishee orders etc.
- Payroll reconciliation
- Report for payments SARS and other third party payments
- Employee Engagement – Completion of employee engagement forms and signed contract, EEA1, Dress code, copy of ID/Work permit & passport, CV & personnel requisition
- Employee Exit – Completion of Employee exit form, UI19, Pension withdrawal forms, return of company property, certificate of service
- Annual Increases & Bonuses
- Increase letter
- Salary checklists and variance reports that enlist all new additions, terminations, maternity etc. for approval by HR Manager
- VIP Recons before closing off the payroll
- Manage & Administration of all WCA documentation on Compsol system
- Annual COIDA submission calculations
- Update IOD list & report to GM
- T & A System Maintenance (Add new employees & remove terminated employees)
- Update monthly New Hires & Leavers – submit to HO
- Long Service certificates & payments
- Update & report monthly vacancy list
- Drafting & updating Policies & Procedures
- Administer changes to Union membership
- Creating and maintaining employee files and ensuring that all required documentation is received and filed
- Maintain and manage employee benefit programs
- Liaise with and assist the auditors for payroll related queries
- Following up on work permits, contract renewals & probationary reviews
- Resolve HR & payroll related queries and enquiries
- Controlling of Leave records and balances
- Send out monthly leave reports to HOD’s
- Maternity leave – issue UIF forms
- Create and maintain Company’s Equity plan in line with Employment Equity act. Maintain EE information on VIP system
- Maintain the personal records on matters such as disciplinaries and training, and prepare associated management reports
- Distribute payslips of employees
- General administration and Supporting HR Manager

• Skills & Qualification
- Ability to maintain confidentiality and exercise extreme discretion
- Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
- Strong organizational skills, and the ability to work under pressure
- Ability to handle and prioritize multiple tasks and meet all deadlines
- 3 years plus experience on SAGE VIP and similar role
- Strong organizational skills, and the ability to work independently
- Excellent communication skills
