Job description:

To provide an effective personal assistant function to the Adviser through reliable support, office administration, reception and switchboard duties and client administration.

Responsibilities:

• Answering/redirecting all incoming calls and taking messages
• Arrange appointments with client or prospects on behalf of the Adviser
• Prepare prospective client files as needed
• General office management assistance
• Receive, direct and relay messages via phone/email
• Greet and welcome guests as soon as they arrive at the office
• General administration
• Handling of claims administration
• Receiving, distributing, and processing all incoming and outgoing mail

Skill sets required:

• Grade 12
• Computer literate (MS Office – Excel, Word and Outlook)
• 1-2 years’ experience as a receptionist and personal assistant
• Professional attitude and appearance
• Ability to be resourceful and proactive when issues arise
• Multitasking and time-management skills, with the ability to prioritize tasks
• Must be punctual
• Client services and good telephone etiquette
• Good verbal and written communication skills
• Ability to work under pressure
• Excellent organisational skills
• Experience in short term insurance (negotiable)
• Own vehicle (negotiable)
