Key Responsibilities:

Property Administration Duties/Functions:
• Drafting of lease agreements / renewals / cessions / addendums;
• Sending out vacancies to all external brokers
• Obtaining and updating of all necessary FICA for tenants;
• Carrying out the necessary checks for incoming tenants (TPN checks, Landlord reference checks, etc.);
• Create, complete and maintain all tenant files and original leases;
• Scanning signed leases, FICA, etc to Property Manager for onward submission to tenants and uploading to MDA;
• Weekly reporting on outstanding leases / FICA;
• Complete and maintain outstanding lease reports as well as reports on new lets and renewals already concluded;
• General Filing and other administrative duties;
• Prepare Spending Committee docs;
• Attach all quotes and compile spending committee docs;
• Follow up on outstanding quotes;
• Assist with deposit refunds and returning of bank guarantees;
• Collect monthly and annual turnover information.
• Custodian of property & tenant financial information and records
• Conduct regular self-audits to validate information
• Maintain a register of building inspections relating to vacating and incoming tenants & annual inspections
• Advise meter readers of any changes to tenancy

Requirements:

· Matric
· Diploma/Certificate would be an advantageous
· Excellent communication skills and relationship management skills
· Professional telephone etiquette
· Minimum 2 years in similar role
· Efficiency and accurate in MS Word, MS Excel, PowerPoint and MS Outlook
· Experience on MDA
· Must have reliable transport
