Operations Manager: Property Management

R360 - 420 000 per annum CTC + performance bonus

Our client, a leading Property Management organisation, is seeking to appoint an Operations Manager for a Retail portfolio with properties in Germiston, Kempton Park, Farrarmere and surrounds..

Qualifications & Experience:
• Degree/B-tech in Facilities Management/Engineering/Built Environment Disciplines/Post-Graduate Qualification in Facilities Management/Engineering/Built Environment Disciplines) will be an advantage
• Minimum 5 years’ experience in Operations management.
• Minimum 2 years Retail Shopping Centre experience.

Knowledge Required:
• Technical knowledge of Electrical, HVAC, Fire systems, Building fabric, OSH Act
• Procurement Management
• Intermediate computer literacy


Duties and Responsibilities:
• Conduct inspections and compile 3 year and 10-year maintenance, operational and capex budgets and submit for approval on an annual basis.
• Responsible for maintaining the Centre’s shop fitting guide/tenant criteria for all TI’s.
• Month on month operational feedback reports to be submitted every month
• Responsible for managing and reporting of parking operations and revenue promotion, utilities management and sustainability initiatives.
• Review security risks and develop intervention plans.
• Ensure the daily/weekly/monthly routine building inspections are conducted as per the approved standards and checklists.
• Compile, execute and track Preventative Maintenance Plan as per service schedules of assets, equipment and building fabric.
• Complete Annual Conditional Assessment reports and provide input into the Annual Building Budget process.
• Respond to emergency and normal call outs and tenant complaints within turnaround times.
• Ensure all service providers comply with OHS Act standards and applicable indemnities.
• Ensure that all the building’s Insurer’s requirements are complied with.
• Perform weekly fire and jockey pump tests and inspections on generators
• Serve as the main contact to tenants
• Engage with Tenants on leases that are expiring within a 12-month period.
• Exit questionnaire with tenants that do not renew
Contract Management:
• Ensure that all maintenance agreements are valid and have an SLA in place.
• Review the performance of service contractors monthly to ensure they are each performing satisfactorily, providing appropriate reports and address performance non-conformances.
• Compile a full year’s demand management plan within a month of budget approval
• Update and maintain the Centre’s asset register.
• Record Centre incidents, document, report as requested including insurance and statutory forms and procedures.
• To ensure that utility (Energy/water/Waste) consumption/output and costs are effectively and efficiently managed and controlled.

Financial Management:
• Compile operational budgets and control R & M expenditure.
• Authorize invoices for timely payment of service providers.

Project Management:
• Plan and implement operational capex projects.
• Responsible for tenant installation, white box, grey box reinstatement projects.
• Conduct Take-back and/or Take-on inspections and keep records for all tenants.
• Responsible for the review of safety files and issuing of work permits and relevant OHSAct compliance as well as ensuring all the relevant indemnities are in place.
