The Quality Manager, QM, is responsible for overall quality including all systems and performance. Your main areas of focus and responsibility are listed below in two separate categories. The first category consists of items where you are the primary person responsible for execution, the second category covers item where you have oversite responsibility and accountability, but the primary responsibility for execution has been delegated to someone else. You need to read your job description in conjunction with those of the Laboratory Technician, Process Quality Officer and Systems Quality Officer, as this will give you a clearer understanding of which tasks you have executional responsibility and which tasks you have oversite responsibility.

Category 1:
a) Overall responsibility for the ISO9001 and ISO14001 systems. This means you are responsible for ensuring the systems are fully implemented and followed on a daily basis, as well as keeping the system up to date.
b) Ensure all personnel working on quality and environmental related issues are provided with the correct tools and systems to empower them to perform their jobs in an effective and efficient manner.
c) Do an annual gap analysis in conjunction with the Process Quality Officer and Production Manager to identify any training gaps pertaining to waged employees and Production Leaders. From this you will generate a training program covering all internal and external training.
d) You will then be responsible for implementing the above external training as well as managing all the associated record keeping and paperwork.
e) Ensure that the weekly wastage report is generated on a weekly basis and reviewed, and all findings actioned. The actual data capturing will be done by the Office Admin Assistant.
f) Ensure that the OE report is kept current, as well as monitor any trends or concerns on a weekly basis and highlight them to the correct people for actioning.
g) Generate test specifications for all, the Lab technician will assist in this.
h) Review and update process FMEA’s and control plans.
i) Ensure that the company comply with all statutory requirements regarding ISO9001 and ISO14001.
j) Responsible for all customer interaction and management regarding quality related issues, including any NCR or G8D reports that may be required. This also includes preparing any credits that might be due to customers along with supporting documentation.
k) Generate and update Customer Specifications Sheets and MSDS’s for Products where requested, and ensure that they align with the company’s COC’s and Product Specifications.
l) Manage any external audits and ensure that the company pass all external audits.
m) Prepare IMDS’s when required or requested.

Category 2:
a) You are responsible for ensuring that Process Quality Officer, Systems Quality Officer and Laboratory Technician are provided with all the tools and training they require to effectively perform their duties.
b) You are responsible for managing the above employees as well as reviewing their standard of work and interceding where this might become necessary.
c) You have oversite responsibility for all the tasks that your subordinates have direct executional responsibility for, as per their Job descriptions.
