SPARE PARTS COORDINATOR (Customer Service Liaison) – Roodepoort, West Rand

Manufacturers of small to medium appliances – looking for a Customer Service Representative, with strong liaison skills (between Customer and Production/ Factory).
• This person should have a good communication skill, must know how to deal with customers, must have good administration skills and must be able apply pressure to get results.
• Company is willing to provide training on the job, if the candidate has the right personality to match the profile.

Duties:
• Load purchase orders onto the system, and distribute internally
• Must raise all pricing discrepancies and work on the process of rectification
• Expedite orders internally - with various departments and chase deadlines
• Provide feedback to customers – written and verbal
• Arrange/participate in meetings with customers
• Prepare reports/reconcile reports
• Handle all customer complaints by liaising with various departments to provide feedback and resolve the issue for the customer
• Process all customer complaints on ticketing system and close off after completion
• Arrange collections and delivery via Dispatch for all products to be returned for re-works/credit
• Process all documentation relating to customer complaints
• Report back to management on customer complaints
• Assist with various other activities within the Customer Service Department

Experience & Skills Required:
• Matric with strong Math’s skills
• 3-4 years’ experience – preferably someone that worked in a manufacturing facility before and has some experience in dealing with customers
• Computer Literacy: Word, Excel, Power Point, Outlook

• Good communication skills – written and verbal (business writing format)
• Operations Driven – (Must be able to follow up with various Factory Managers on the status of orders, sometimes by physically seeing these managers or taking a walk into the factory)
• Customer Centric – must be willing to go the extra mile (must be able to workshop the problem with the Quality Officer by physically seeing the problem on the production line or in the fabrication department. This person must understand the problem in order to explain it to the customer. Should be a hands-on person that when he gets no joy over emails can go and tackle the problem himself.)
• Sales Driven – (Not looking for a salesperson. Looking for a problem solver, or a go-to person to make the customer’s life easier. More than the sales aspect, keeping the customer happy is important)
