Job objective
To provide the required and relevant professional assistance to the Advisor in the administration and implementation of clients’ financial reviews and investment instructions
Duties:
Processing new business for new and existing clients
1. Ensure all documentation and information is prepared in accordance to company policies
2. Implementation of clients’ instructions i.r.o. investments, insurance policies, etc, in consultation with Advisor and submission of relevant
documentation to appropriate service providers
3. Obtain confirmation from service providers regarding implementation of instructions above
4. Written communication/confirmation to clients’ regarding investment instruction implementation
5. Follow up on outstanding/incomplete client business and consult with/remind the Advisor
6. Offshore Investments – Tax Clearance application, Forex Trade Accounts, new/existing business administration
7. Trusts – All admin related to trust administration and required compliance for investments, stockbroking and life contracts
8. Stockbroking – Ensure all compliance and mandates up to date

Servicing of existing clients
1. Assimilate investment/fund values, investment performance statistics and Astute information of clients
2. Compiling, binding and preparation of proposals and client review documentation
3. Assist with the review of clients’ Wills in consultation with the Advisor
4. Make payments on behalf of clients through the corporate saver account
5. Track payments into the corporate saver account and forward payments to investment companies
6. Attend to client complaints and enquiries in consultation with Advisor

General Administration
1. Ensure that client documentation is in compliance with FICA & FAIS legislation
2. Scheduling meetings for Advisor and organising diary
3. Diarise and follow up business leads in consultation with Advisor
4. Attend to client complaints and enquiries in consultation with Advisor
5. Recording of client interaction and updating of client records upon completion of interaction
6. Maintain client record and database according to company policies
7. Attend to Death Claim processes and documentation
8. Correct and timeous completion and submission of Fee Forms as well as all internal documentation as per company policy

Job Evaluation Criteria Formal Education
• Matric
• RFP 1 + 2 would be advantageous

Experience:
• Administrative/secretarial experience is essential
• 2-3 years’ experience in the investment financial services industry
