Job Title Compliance Administrator

Location: Pretoria
Permanent

Purpose statement Co-ordinate and implement compliance activities and perform various compliance administrative processes and to ensure the company complies with regulatory requirements and internal policies.

Reports to: Head of Legal and Compliance Subordinates:

Duties
People
- Regular interaction with financial advisors, colleagues, management, external compliance practice, as well as regulators to ensure the
effective delivery of compliance processes and activities

- Processes

Compliance process
o Responsible for identifying and assessing areas of significant regulatory risk in collaboration with compliance team
o Conducting ad hoc investigations into identified or reported risks
o Managing and reporting compliance breaches and exposures on the FSP’s risk register
o Reviewing advisor regulatory compliance systems and procedures within own area of responsibility
o Develop and maintain compliance procedures
o Supporting various departments with collection and coordination of internal compliance data
o Implementing and managing the monitoring functions
o Drafting of compliance reports

Advisor maintenance
o Responsible for the addition and removal of representatives on the company’s FAIS license
o Responsible for processing of profile changes

Training Projects
o Responsible for driving the implementation of the business aligned learning and development strategy with respect to design and
implementation of learning solutions to ensure regulatory compliance to new Fit and Proper.
o Liaising with training providers and coordination of bulk registrations in respect of Class of Business training
o Coordination of product specific training in line with new Fit & Proper requirements
o Responsible for active involvement in the development as well as implementation FAIS, FICA and TCF awareness training
o Attending to CPD queries where necessary

Maintenance of representatives FAIS Disclosure documentation
o Responsible for ensuring all advisor disclosure as well as other transactional compliance documentation is up to date and appropriately
applied
o Close liaison with audit division of changes to any FAIS compliance documentation

Supervision agreements process and maintenance
o Responsible for the development as well as implementation of the supervision process and communication of same to respective advisors
o Responsible for the arrangement of supervision agreements and regular monitoring thereof.

Multiple License Tracking
o Responsible for conducting multiple FSP license registrations in respect of advisors on a monthly basis.
o Resolution of adverse findings in collaboration with head of operations as well as head of compliance

ITC Checks
o Applying a risk-based methodology in reviewing ITC monitoring conducted monthly and making recommendations to the advisor liaison department

Referral agreements process and maintenance
o Responsible for the development and maintenance of referral agreement procedures
o Responsible for the preparation and monitoring of referral agreements
o Responsible for management and oversight over EF Insure as well as EF Med referral agreement process.

Registers maintenance
o Responsible for the review of existing, development as well as management of information in respect of the following registers:
• Risk and Breach Register
• Representative Register
• Supervision
• Referral
• Training
• CPD
• Qualifications
• Resignations
• Annual Declarations

Annual declarations process
o Responsible for active involvement in the development of advisor annual declarations and maintenance of the relevant register.

Regulator and external compliance liaison
o Accountable for liaising with regulators as well as external compliance practice regarding various compliance related queries affecting own
area of responsibility.

Reports to HOD
o Accountable for the preparation and submission of monthly, quarterly as well as annual reports as per the FSP’s annual compliance risk
management program

General
o Responsible for remaining abreast of current affairs as well as regulatory changes and developing implementation plans for affected
business areas
o Attendance of regular compliance meetings, re and training coordination
o Responsible for the resolution of day to day compliance queries from advisors as well as other departments within the company and
escalating to HoD where necessary

Job Evaluation Criteria
Formal Education
Compliance certification or BCom degree

Experience:
3-5 years related experience in a compliance function in Financial Services with working knowledge of FICA and FAIS.
